Job Description Medical Secretaries Team Lead | Medical Records | Full Time | Permanent | Elland We have an exciting opportunity for a Medical Secretaries Team Lead to join the team based at Spire Elland. This role will be to manage the Medical Secretaries and Medical Records Team, ensuring the delivery and administration management of the medical records and typing functions. To ensure the Medical Secretaries and Medical Records teams provide an exemplary standard of customer service to all stakeholders To manage workload efficiently and effectively in line with the demands of the business, adhering to all relevant KPI’s, clinical standards and commercial requirements To be an advocate of excellent customer care whilst working as a team Spire Elland Hospital has been providing high levels of medical treatment and personal care since 1985. Our hospital has a full multi-disciplinary medical team on-site who practice some of the most advanced treatments on the latest generation imaging and diagnostic technology. This means we can offer everything from screening and rehabilitation through to leading-edge surgical procedures and excellence in specialist fields like orthopaedics, general surgery, gynaecology, and cosmetic procedures. Duties And Responsibilities To be responsible for the overall management and day-to-day supervision of the Medical Secretary and Medical Records teams To provide an efficient and timely secretarial service to assigned consultants. To effectively manage staff, always ensuring appropriate staffing levels and adhere to HR policies and procedures including managing sickness, annual leave and resolution of any performance issues. Ensure all administrators within the team have monthly 1-2-1’s and feedback sessions and EE’s are set and that regular team meetings are held to communicate any updates or changes. Responsibility for delivery of departmental key performance indicators. Constantly look for new ways of working and process improvements in order to move in time with other aspects of the business. Work as part of the wider hospital administration team, providing support where required and as appropriate. Undertake all work in accordance with company hospital policies and procedures. Ensure familiarity with the Health & Safety at Work Act, including manual handling and fire procedures. To maintain confidentiality of all information acquired regarding patients, consultants and staff and not to on any account disclose information about the affairs of the hospital, its subsidiaries or associates. Provide and receive patient information, ensuring that all patient information is provided, received and recorded in accordance with the Data Protection Act and Spire policies. Carry out any other duty that reasonably falls within the general nature and level of responsibility of the post Who We're Looking For Track record of successful delivery in a similar role, with experience in the medical sector Supervisory/management experience Good standard of secondary education with demonstrable literacy and numeracy skills Good knowledge of hospital systems, including processes and procedures Understanding of medical terminology Excellent interpersonal and communication skills. Ability to build and maintain effective working relationships, both internally and externally Strong focus on delivering and meeting customer expectations, with the ability to handle difficult situations Confident telephone manner with the ability to communicate with a wide range of customers at all levels The ability to work effectively as part of a team High degree of accuracy and a methodical approach to workload IT literate with full working knowledge of the MS Office suite of products with an advanced working knowledge of Excel, including formulas and V look ups Able to work under pressure and to tight deadlines Ability to work on own initiative and prioritise demanding workloads accordingly.
