Detailed job description and main responsibilities

Provide administrative support to the department:

* To assist in the representation of R&D in a trust-wide capacity.
* To assist in the maintenance of the current portfolio of projects within R&D.
* To assist in increasing the engagement with staff about research.
* To assist with R&D projects and initiatives.
* Uses a range of office software, including email, spreadsheets and databases, Microsoft Office software and online meeting packages.

* Implementation and promoting the R&D and Trust Equality, Diversity and Inclusion policy and agenda.
* Ensure accurate entry of data to research databases and using this data to pull crucial reports for the team. Contribute to the production of high quality evidence.
* To assist the R&D Leadership team to support initiatives and projects within the department.
* Provide administrative support to projects and conduct any administrative tasks in the department required by the needs of projects in the R&D Department.
* Day to day administration management of the R&D Department, including minute taking, maintaining supplies of stationary and equipment, organising meetings, diary management of the management team and financial administration.
* To ensure that systems are in place for the gathering of performance monitoring information.
* To ensure secretarial cover is adequate to continue delivering the service and maintain an awareness of whole department activities.
* To collate information in order to monitor achievement of targets, proactively chasing gaps in data provision and providing statistics and reports through identified reporting lines.
* Receiving callers and visitors to the service, both by telephone and in person, directing people as appropriate.
* Prepare research information highlighting agreed targets to assist with the smooth running of the department.
* To liaise with other departments and parts of the organisation, following up information and gathering data as needed.
* To undertake continuing professional development and supervision.
* Plan and organise own time and workload activity with prioritisation, use initiative and be able to work independently.
* Maintain patient confidentiality at all times.
* To carry out surveys and audits as necessary to own work.
* Maintain adequate records and ensure all relevant information is documented for projects.
* Support reports as required for the needs of projects.
* Provide administrative activities as required for the department in relation to project finance, as required.
* Assist the team to close down, monitoring and audit of projects.
* Maintain and develop skillsets through CPD.
* Support project activities as part of the extended clinical care team, as the service requires.
* Any other responsibilities as required by the role.

Education and Qualification


Essential criteria

* A good standard of English to O level/GCSE or equivalent RSA/OCR level III or equivalent knowledge and skills


Experience and Knowledge


Essential criteria

* Experience of general administrative duties, including producing and providing reports, minute taking, diary management and financial administration


Desirable criteria

* NHS clinical research experience


Skills and Abilities


Essential criteria

* Ability to demonstrate excellent written and verbal communication skills, including overcome barriers to communication
* IT skills related to data handling and analysis


Personal skills


Essential criteria

* Ability to be flexible and adaptable to rapidly changing situations and/or tasks
