Role: PMO Planner Reports to: Delivery Manager Hours: Part-time - 3 days per week (24 hours) Salary: £35K (pro rata) Company Overview iCoTech is a Microsoft Gold Partner based in Cardiff. We build Project & Portfolio Management solutions using the Microsoft Power Platform and Planner, helping public-sector clients such as IPO and South Wales Police to close the productivity gap, improve insight, and mature their PMOs. About the Role We’re looking for a detail-oriented PMO Planner to join our Project Delivery Team. This role is critical in ensuring robust planning, scheduling, and reporting across our portfolio of projects. You’ll work closely with consultants, stakeholders, and senior leaders to develop and maintain project plans in Microsoft Project Online (POL). These plans feed into timesheets and generate resource models to align with current delivery plans. Key Responsibilities Develop and maintain all POL project plans in collaboration with the team. Track progress against milestones and tasks, highlighting risks, dependencies, and issues. Ensure accurate plans are in place so timesheets and project tasks can be shared with wider teams. Collaborate with stakeholders to improve forecasting accuracy and delivery performance. Coordinate schedule updates, resource allocations, and critical path analyses. Support governance processes by preparing materials for PMO meetings. Ensure consistency of planning standards, tools, and templates across the PMO. Utilise POL capacity planning and Power BI reports to analyse weekly, monthly, and quarterly resourcing models. Identify gaps or over-allocation of resources. Essential Skills & Experience 2 years’ proven experience in project planning within a PMO or large-scale project environment. Strong knowledge of planning tools (e.g., Microsoft Project Online, Dynamics 365). Excellent organisational and analytical skills with strong attention to detail. Ability to manage multiple priorities and work to tight deadlines. Excellent communication and stakeholder engagement skills. Familiarity with project management methodologies (e.g., PRINCE2, Agile, or PMI frameworks). Advanced MS Excel and PowerPoint skills for reporting and presentations. Desirable Skills & Experience Experience in tech, SaaS, or professional services industries. Understanding of resource management and portfolio planning.
