About the Role


We’re looking for a Venue Sourcing Assistant to join our growing team at Live Group. This is an exciting entry‑level opportunity for someone keen to build a career in events, venue sourcing or project delivery.


You’ll support the venue sourcing process across a range of events - helping research venues, manage data, coordinate communications, and keep everything running smoothly behind the scenes. Working closely with our Venue Sourcing Specialists and Project Managers, you’ll gain hands-on experience across high‑profile events and global clients.

What You’ll Be Doing


* Venue Research & Sourcing Support
* Use venue sourcing platforms such as Venue Directory and Cvent Supplier Network to manage and issue enquiries
* Research and source venues in the UK and internationally based on event briefs and client requirements
* Request availability, pricing, and provisional holds from venues
* Assist in producing detailed venue shortlists, comparisons, and recommendations
* Maintain accurate information on venue capacities, rates, amenities, access, and restrictions
* Venue Systems, Trackers & Data Management
* Maintain and update venue sourcing trackers, databases, and internal systems
* Log all venue enquiries, options, confirmations, and declines clearly and accurately
* Ensure venue sourcing activity is documented in line with Live Group processes
* Support data accuracy across sourcing systems to enable reporting and cost tracking
* Contracts, Finance & Process Administration
* Support the management of venue contracts, ensuring documentation is complete, compliant, and stored correctly
* Assist with processing Purchase Orders (POs) for venues and suppliers
* Track contracts, invoices, payments, and commissions, escalating any discrepancies
* Support invoice checking against contracts and agreed rates
* Ensure venue-related financial processes are followed correctly and deadlines are met
* Working with the Delivery Team
* Work closely with Venue Sourcing Specialists and Project Managers across multiple live projects
* Coordinate communications between venues, suppliers, and internal delivery teams
* Assist with site visit scheduling, venue familiarisation activity, and FAM trips
* Record venue costs, commissions, savings, and added value to support profitability tracking
* Client & Stakeholder Support
* Interpret and clarify client venue briefs via email, ensuring all requirements are accurately captured before sourcing begins
* Communicate professionally with venues and internal stakeholders via email and phone
* Support the preparation of client-facing venue proposals and supporting documentation
* Ensure all venue information shared with clients is accurate, clear, and aligned to the brief
* Post-Event & Continuous Improvement
* Update systems with learnings, performance notes, and supplier insights
* Contribute to improving venue sourcing processes, tools, and templates


About You


* Some experience or exposure to events, hospitality, travel, or administration (internships welcome)
* Strong organisational skills and high attention to detail
* Confident written and verbal communication
* Good working knowledge of Microsoft Office (especially Excel and Outlook)
* Experience with systems, tech savvy and the ability to pick up new platforms
