Purpose of the Role
To provide high‑quality administrative support for the development, acting as the first point of contact for tenants and visitors. The role is responsible for the smooth day‑to‑day running of reception, front‑of‑house operations, and general administration. Working closely with the Building Manager and wider team, the Administrator will coordinate tasks, maintain organised systems, and ensure excellent customer service throughout the development supporting both commercial and residential.
Key Responsibilities
Administrative & Coordination Duties
· Provide daily administrative support to the Building Manager, including filing, record‑keeping, data entry, and preparation of documents.
· Supporting the Building Manager and Assistant Resident Service Manager with deposit releases, tenant registration and any other leasing administration as required.
· Manage incoming email and telephone enquiries, directing queries appropriately and maintaining clear communication logs.
· Organise and maintain all front‑of‑house and building management documentation, including contractor logs, inspection records, and health & safety files.
· Support with scheduling contractor visits, coordinating access, and ensuring all relevant paperwork is completed and recorded.
· Log, track, and follow up on maintenance issues, ensuring timely updates and closure of tasks.
· Assist with the administration of minor works and coordinate with Maintenance Operatives and contractors.
Front‑of‑House & Customer Service
· Act as the first point of contact for all commercial tenants and visitors, presenting a professional and welcoming environment.
· Greet and assist tenants and guests, ensuring enquiries are handled promptly and effectively.
· Maintain a well‑presented reception area and ensure all communal spaces reflect high standards at all times.
· Receive, sort, and distribute post into the correct trays, maintaining tidy and organised mail systems. Processing post in a timely manner.
· Manage tenant expectations and escalate queries to the Building Manager where required.
Building & Compliance Support
· Assist in the daily running of the building, supporting administrative tasks as needed.
· Monitor entry and exit points, ensuring robust security procedures and accurate visitor/contractor recording.
· Work with the Building Manager to support compliance with Health & Safety and statutory requirements across the development.
General Duties
· Support the wider team with ad‑hoc administrative or operational duties as required.
· Contribute to the overall professional, efficient, and customer‑focused environment within the development.

Working Hours - 5 days a week Monday – Friday 8am – 5pm – 1 hour for lunch
Salary - £28,000 + up to 10% discretional bonus
