Job Title: Facilities Coordinator
CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Facilities Coordinator to join our team in Carlisle. The successful candidate will be responsible for delivering operational Facility Management services.
Key Tasks
1. Deliver all FM Operations SLA’s in accordance with KPI & Output measurements.
2. Coordinate with FM Operations and Critical Service teams to meet service level agreements.
3. Support and monitor 3rd party maintenance activities, reporting any corrective works.
4. Ensure compliance with HSE requirements as outlined in the SLA and company policy.
5. Participate in emergency activities as part of the site Emergency team, e.g., Fire Marshall duties.
6. Report all accidents, occupational illnesses, and emergencies appropriately.
7. Ensure contractors operate within SHE processes and client HSE standards.
8. Conduct monthly SLA self-assessments to support quarterly contract performance reviews.
9. Maintain the site's image and visual standards, addressing issues proactively.
10. Manage Mail Room activities, including receipt, sorting, and distribution of post.
11. Ensure printers and photocopiers are stocked and maintained.
12. Monitor and replenish stationery supplies.
13. Deliver received goods to the correct destinations.
14. Coordinate waste and recycling arrangements on-site.
15. Perform statutory fire testing and related checks.
16. Coordinate with Security and report access system faults.
17. Raise Purchase Orders and approve invoices in line with business controls.
18. Act as a responsible person for cost control functions.
19. Understand customer requirements, address concerns, and keep clients informed.
20. Act as deputy in the absence of line management and provide team cover as needed.
21. Perform additional activities and responsibilities as defined.
Person Specification
* Strong PC skills, especially MS Office.
* Self-motivated, resourceful, and well-organized.
* Good administrative and prioritization skills.
* Focus on delivering FM services confidently and efficiently.
* Service-oriented attitude with innovative thinking.
* Knowledge of the facilities management industry.
* Experience working with supply partners for seamless service delivery.
* Customer service experience and strong communication skills.
