Job description
The Wholesale Order Fulfilment team collaborates with Customers, Sales, and Distribution teams to ensure the smooth and timely processing of orders and shipments, supporting the daily operations and success of our wholesale customers across all territories.
This role is crucial in maintaining the order book's integrity and achieving monthly and seasonal shipping targets.
We engage with accounts daily via email, phone, and occasionally in person, ranging from leading national retailers to smaller independent stores within each territory.
The role involves managing shipping and customs requirements for international stock movement, along with supporting administrative tasks and processing wholesale customer accounts.
Main responsibilities
* Maintain the integrity of the order book, including timely updates and regular reviews of outstanding orders and end-of-season clearances.
* Manage order amendments after the sales period concludes.
* Oversee the process of releasing orders for distribution center (DC) picking, including consumables.
* Coordinate customer bookings with warehouse and customer teams, utilizing customer portals.
* Regularly review credit reports, proactively address issues, and liaise with customers and Credit Control for resolution, including stock releases based on credit approvals.
* Assist in preparing shipping documentation such as commercial invoices and certificates of origin.
* Track deliveries and communicate with customers regarding bookings and updates.
* Provide weekly updates to agents on order intake.
* Coordinate EOS and normal returns where applicable.
* Handle claims for shortages and invoices for extras (units and services).
* Assist in executing new customer shipping manuals, including VAS and Pick & Pack codes.
* Support efforts to reduce debit notes through investigation and root cause analysis.
* Create SOPs for key customers.
* Ensure weekly shipping targets are met, resolving blockers and challenges.
* Manage customer cancellations and ensure policy compliance.
* Handle extras credit raises for marketing or goodwill, maintaining policy compliance.
Ideal candidate
* Proficient in Microsoft Office, especially Excel (pivot tables).
* Comfortable working with numbers and large data volumes.
* Detail-oriented and diligent.
* Experience with ordering systems like Styleman or Oracle is advantageous.
* Adaptable to a fast-paced, challenging environment.
* A team player with excellent communication and planning skills.
* Enthusiastic, determined, with a positive attitude and strong customer service skills.
