 
        
        Facilities Assistant
As a Facilities Assistant you will provide an efficient and effective support to the team/office in which you work, enabling the Bristol office to function effectively and achieve its objectives. To ensure that work complies with internal quality standards and external requirements. You will report directly to the South West Facilities Manager.
Key Responsibilities of the Facilities Assistant
Personalised Client Service
 * Scanning and delivery of incoming post
 * Undertake scanning projects, for example, scanning wills before they are sent to external storage
 * Booking couriers where necessary
 * Franking and sending out post, occasional trips to the post office may be required
 * Archiving of files and recalling files from external storage
 * A responsibility of keeping the office neat and tidy
 * A responsibility for Health and Safety in the office
Sustainable Growth
 * Assist with monitoring and improving recycling and waste disposal practices across the office, ensuring compliance with sustainability targets.
 * Keep up to date with sustainable facilities management trends and suggest improvements where applicable.
Dynamic Culture
 * Provide approachable and helpful support to colleagues and visitors, contributing to a respectful and service-oriented environment.
 * Listen to staff suggestions regarding facilities or workplace improvements and relay them constructively to the Facilities Manager/management.
 * Provide health and safety inductions for new starters
 * Undertake DSE assessments for staff
 * Assist in set ups of meetings/events
Financial & Operational Excellence
 * Help monitor and manage stock levels of office supplies, ensuring timely restocking while avoiding waste or unnecessary spending.
 * Perform regular checks to ensure the office environment is safe, well-maintained, and functioning efficiently, escalating issues as needed.
 * Follow established procedures for facilities tasks (e.g., mail handling, meeting room setups, contractor check-ins) to ensure consistency and reliability.
 * Support the monitoring of service contractors (e.g., cleaners, maintenance personnel) to ensure value for money and contract compliance.
 * Assist in ensuring all workplace health and safety requirements are met, including maintaining logs, signage, and access to safety equipment.
Ensure that daily facilities duties are carried out efficiently and to a high standard, supporting smooth business operations.
Requirements for the Facilities Assistant
 * Previous experience within a Facilities role (desirable).
 * A go-to person for practical tasks around the office, with hands on ability (essential).
 * IOSH or NEBOSH qualifications (desirable).
 * IT-savvy (essential).
 * Proficient in Microsoft Office 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams (essential).
