An exciting opportunity has arisen to join our team at South Wigan Medical Practice. We have a vacancy for a part time receptionist/administrator who has experience of working in general practice or a similar role.
Main duties of the job
A successful applicant would be an experienced receptionist who has previously worked in general practice or a similar healthcare role. You would be expected to cover all aspects of reception such as front of house, telephones, scanning, processing prescriptions and dealing with general patient enquiries. You must have a friendly and an approachable personality with the ability to work as part of a team. You must also be flexible to cover AL where required. We use System One clinical system alongside AMGP digital platform.

Currently the team consists of 7 GP partners, 2 practice nurses, 1 HCA (health care assistant) and a dedicated admin and management team. We are a training practice with around 6500 patients, we are based in a purpose built building in Chandler house with on‑site parking.
Job responsibilities
* Act as the first point of initial contact for the general public, handling enquiries face‑to‑face.
* Book appointments.
* Log arrivals and manage secure area entry/exit as indicated.
* Take deliveries.
* Deal with private payment issues for services, collect payments and issue receipts.
* Ensure people are dealt with appropriately and courteously.
* Pass on requests for medical advice or information and organise home visits in the appropriate manner.
* Advise public over policies and procedures for temporary patients and arrangements for joining the practice.
* Telephone and internet duties: first point of contact for all non‑face‑to‑face means; answer phone, email and internal messaging promptly, correctly and securely.
* Use of specialist software e.g. for running call/re‑call systems, authorising medication, scanning/filing letters and data entering on patient records.
* Ensure data flows around the practice from initial entry to final destination in a logical and systematic manner in accordance with training and protocols, maintaining patient safety and confidentiality.
* General administration duties: assist and take lead where appropriate in all general administrative tasks in the office environment.
* Repeat prescription ordering, printing and administration: ensure repeat medications are promptly issued or sent for re‑authorisation; provide necessary information for collection or delivery instructions.
* Opening and closing procedures: open and close the surgery at the beginning and end of day in prescribed manner.
* General filing: keep necessary paperwork clear, tidy and in accordance with protocol; ensure records are stored appropriately before shredding.
* Assorted general office related tasks: any other day‑to‑day tasks that might reasonably be the responsibility of a general reception and administrator, including personal responsibility for health and safety policies and procedures.
* General tidying and occasional cleaning duties: keep general work area clean and tidy during routine operations, maintaining health and safety and fire requirements.
Knowledge and skills
* An understanding of a General Practice Reception environment.
* Experience of working within a General Practice Reception environment or another similar health care profession.
* Good standard of general education.
* Practical experience of working with others.
* Experience of using own initiative/multi‑tasking.
* Experience of excellent customer service.
* Excellent communication skills (written and oral).
* Time management and the ability to work to deadlines.
