About the Role
We are seeking a highly organised and personable Treatment Coordinator to join a leading aesthetics clinic in Chelsea, London.
In this role, you will work side by side with the Doctor during patient consultations and treatments, supporting her and ensuring every patient enjoys a seamless, professional, and reassuring experience.
Your responsibilities will range from setting up treatment rooms and preparing notes, to assisting during treatments by documenting patient notes, to guiding patients on treatment plans, skincare products, and referrals to other practitioners within the clinic. Whether scheduling appointments, coordinating packages, or saying "I'll book you in with X", you'll play a vital role in both clinical support and patient care.
This is a hands-on role where you'll combine direct support for the Doctor with coordination, administration, and patient engagement, making you a key part of the clinic's success.
Key Responsibilities
* Work closely with the Doctor during treatments, including setting up rooms, preparing notes, and taking detailed records.
* Provide in-treatment support, ensuring the Doctor has everything required and patients feel fully supported.
* Guide patients on treatment plans, products, and packages, referring them to other specialists in the clinic where appropriate.
* Confidently coordinate patient journeys from consultation to aftercare.
* Assist in communication with patients via phone, email, and messaging with professionalism and warmth.
* Assist in handling bookings, rescheduling, payments, and patient record updates with accuracy.
* On occasion, stay later to assist when the Doctor is running behind schedule.
* Actively support clinic campaigns, retail sales, and patient feedback initiatives.
* Ensure every patient interaction reflects the highest standards of confidentiality, empathy, and care.
About You
* 2–3 years' experience as a Treatment Coordinator, Patient Care Coordinator, or in a front-of-house role within an aesthetics, dental, or medical clinic.
* Comfortable working chairside with a doctor, assisting during treatments and documenting notes in real time.
* Strong understanding of patient coordination, from scheduling and treatment planning to package and product management.
* Excellent verbal and written communication skills, with a warm, professional manner and the ability to build trust and rapport quickly.
* Highly organised, confident in managing multiple clinicians' diaries, and able to prioritise in a busy clinic setting.
* Proactive and detail-oriented, ensuring every step of the patient journey is seamless and well-documented.
* A genuine interest in aesthetics & skin health.
* Flexible, reliable, and committed to delivering exceptional service, including staying late on occasion when the Doctor is running behind schedule.
