Ward Administrator

To provide high-quality administrative and clerical support to the nursing and medical staff in the ward. Responsible for the management of patient information and movement, ensuring accurate data quality. Provide a professional front of house service for patients, relatives and staff, ensuring they are informed appropriately. Act as a member of the team and attend meetings, handovers and huddles.
Main duties of the job
* Managing patient admissions, discharges, and transfers on the ward
* Updating patient records and tracking bed availability
* Acting as a point of contact for families and visitors
* Booking transport
* Supporting nurses and doctors with paperwork and coordination
* Handling ward-level communication (phones, emails, internal systems)
* Covering the ward reception
Job responsibilities
* Welcome and provide a full front of house service to patients and their relatives onto the ward, ensuring that security and infection control measures are adhered to.
* Ensure all clinical referrals are forwarded to relevant internal departments and/or external agencies.
* Maintain professional appearance, uniform, and presentable reception and waiting areas.
* Observe and maintain confidentiality of patient records and staff information.
* Distribute and collect How Are We Doing (HRWD) patient survey forms, achieving a monthly return rate of 50%.
* Request hospital transport as directed, adding all relevant information to the system.
* Request porters to transfer patients to and from the ward as directed.
* Liaise with nursing staff and Ward Hostesses regarding snack box requests.
* Assist nursing, medical and therapy staff with discharge processes, liaising with Discharge Lounge staff where appropriate.
* Order unit supplies (unit stores, patient documentation forms, stationery, IT equipment) via KFM, ensuring timely delivery.
* Carry out administrative duties such as scanning and photocopying as instructed by the Unit Manager.
* Open and distribute mail, forwarding letters to patients who have been discharged or transferred.
* Act as liaison with the Trust’s Facilities Department for maintenance jobs and repairs.
* Assist with training new staff members as appropriate.
* Provide other administrative support as required by Team Leaders or Ward Managers.
Person Specification
Education and Qualifications
* GCSE A-C in English & Maths, or equivalent
Knowledge and Experience
* Advanced keyboard use
* Experience of dealing with customers
* Experience of stock control
Skills and Competencies
* Provide and receive routine factual information to inform work colleagues, patients/carers requiring tact and persuasion, where there may be barriers to understanding.
* Communicate effectively in both written and verbal formats with staff and patients.
* Solve problems easily without hesitation and handle routine enquiries.
* Adopt a systematic approach to work organisation to ensure timely and accurate completion of tasks.

£31,554 to £33,270 a year, including HCA.
