Job Opportunity: Administration Assistant – Power T&D (EGL2 Project)
Location: Willerby, Hull (relocating to Market Weighton in October)
Balfour Beatty’s Power Transmission & Distribution team is looking for a proactive Administration Assistant to support the Health, Safety & Wellbeing (HS&W) and Environment & Sustainability (E&S) functions on our EGL2 Project.
What You’ll Do:
1. Manage day-to-day administrative tasks for the HS&W and E&S function.
2. Maintain accurate records within our integrated Safety Management Systems (iSMS).
3. Assist in the close-out of incident and observation reports.
4. Support the onboarding process by administering safety inductions.
5. Collect, compile and format key data and statistics for HS&W and E&S reporting.
6. Help prepare monthly business HS&W and E&S returns.
What you'll be doing
1. Accurate record keeping and management of sensitive data; provide HS&W and E&S support and advice to the project/business area.
2. Developing open and effective communication with stakeholders.
3. Accurately record and review local HS&W and E&S event data.
4. Carry out site visits and tours of work locations.
5. Collation and submission of client HS&W and E&S reporting as required.
6. Collation and submission of best practice reports in line with the customer.
7. Creating, updating, and distributing monthly HS&W and E&S dashboards.
8. Development and distribution of local TBTs (Toolbox Talks).
9. Collating and distributing weekly HS&W and E&S communications, including open observations.
10. Updating Project on a Page HS&W and E&S statistics.
11. Updating weekly HS&W reporting data for progress meetings.
12. Administering project HS&W and E&S awards and collating evidence.
13. Creating and maintaining visual HS&W displays in the office area.
14. Maintaining Safety Leader board and monitoring SMS board.
15. Uploading hours to iSMS before month-end.
16. Reviewing open investigations and monitoring record closures.
17. Running local iSMS reports for project monitoring.
18. Reviewing open reports on the Webportal and monitoring closure.
19. Monitoring project sustainability returns on the portal.
20. Assisting site teams with the Observations App.
21. Managing Msite registration.
22. Updating the training matrix, running reports, and booking training.
23. Administering Site Assist and running induction reports.
24. Managing site registration for project inductions, including sending invites, creating bookings, and liaising with suppliers.
25. Updating and monitoring the M-Site record system.
26. Developing monthly induction rota for HS&W and E&S team.
27. Assisting with delivery of inductions alongside the HS team.
28. Updating and distributing KPI reports for Safety Leaders.
29. Managing safety leader KPI activities and providing administrative support.
30. Uploading weekly site inspections to HSES Webportal.
31. Assisting in maintaining the Sensible Monitoring board and records.
