Job Description Summary
Reporting to the Regional Facilities Manager (RFM), the Multi‑Site Facilities Manager will be responsible for the day‑to‑day operation of the designated assets. The role delivers effective leadership, guidance, and support for all services through the management of directly employed team members, sub‑contractors, and suppliers. The Manager will ensure quality delivery of FM services in alignment with company standards and operational expectations, manage budgets, and participate in tendering, contracting, and business development.
Key Role Responsibilities
* Manage all day‑to‑day site‑based hard FM services, leading the on‑site Facilities Team.
* Oversee reactive maintenance, planned preventive maintenance, and life‑cycle replacement programs.
* Implement procedures for innovative energy and utilities management and monitoring.
* Engage residents to proactively improve service delivery and resolve service issues.
* Lead the team to achieve key performance indicators (KPIs) in line with company standards.
* Hire, onboard, and develop team members to meet performance goals and succession needs.
* Manage all sub‑contractors and service providers, including specialist maintenance contractors, grounds maintenance, and pest control contractors.
* Coordinate and monitor minor works contractors and suppliers, maintain accurate stock records, operations logs, and statutory compliance documentation.
* Ensure the Asset Management Plan documentation is current and compliant.
* Conduct routine quality and safety inspections to maintain property appearance and standards.
* Produce monthly financial and contract‑specific reports and supply site management information as required.
* Maintain adequate inventory of spare parts and maintenance materials; order supplies and tools within budgetary guidelines.
* Issue purchase orders, process invoices, and manage financial communications with the finance team.
* Contribute to the development of annual budgets and achieve related budget goals through financial analysis and reconciliation.
* Implement health and safety policies and procedures, produce monthly health and safety reports, and support CAPEX project planning and execution.
* Maintain up‑to‑date PMS and CAFM records in accordance with company KPIs.
* Lead external risk assessments and proactively close out any raised actions.
About You (Qualifications)
* Understanding of UK Health & Safety laws and statutory regulations for high‑rise building management, including interactions with Local Authority Representatives.
* Qualification in electrical/mechanical engineering or plumbing (e.g., NVQ, City Guilds) or equivalent experience (e.g., 5 years industry knowledge).
* Knowledge of building repair trades, purchasing procedures, painting, and repair procedures.
* Understanding of Health and Safety risks, manual handling, worksite safety, chemicals, trip and fall hazards.
* Building maintenance experience in a high‑rise residential environment or similar.
* Experience supervising contractors/suppliers and managing residential building repairs and maintenance.
* Experience developing and maintaining risk assessments and managing planned preventive maintenance systems.
* Experience with fire door inspections and remediation (desirable).
* People management training (desirable).
* NEBOSH qualification (desirable).
* Understanding of SFG20 (desirable).
* IWFM Level 4 (desirable).
