About Central Functions

Central Functions is formed of the teams and people that serve the entire business, ensuring smooth operation, timely payments, efficient procurement, legal compliance, and safeguarding health, safety, and security.


About the People Team and the Role

The People Team manages the full employment lifecycle within THG, from candidate attraction and onboarding, through learning & development and employee relations. Reporting to the People Services Team Manager, the People Services Assistant is responsible for the smooth running of the People Shared Services function. You will provide a world‑class administrative service, maintain THG’s HR system, and advise line managers on people processes.


Responsibilities

* Collate all relevant new starter documents ensuring internal and legal compliance.
* Support new starter induction process.
* Maintain electronic personnel files.
* Ensure probations are completed and reported.
* Assist stakeholders with HR process advice.
* Ensure leaver process is followed by managers and logged accurately in the HR system.
* Complete confirmation of resignation letters as necessary.
* Raise change of term letters and ensure all information is accurate.
* Accurately update the system to reflect changes within the relevant information.
* Ensure managers follow correct sign‑off procedure before processing change of terms.
* Audit that documents are received back signed by employees and placed in personnel files.
* Process all requests for contracts submitted via the Talent team per sign‑off process.
* Ensure contracts are delivered and signed via the DocuSign portal for accurate recording.
* Understand the variety of templates used for various countries, departments, job roles, and acquisitions.
* Ensure all data is added accurately across all teams.
* Support the Team Leader with processing international payroll information/data weekly.
* Work closely with stakeholders in international locations.
* Input new starters into the system with 100% accuracy.
* Update reporting lines to ensure organizational structure is accurate.


Requirements

* Experience working effectively within a team environment.
* Provide guidance and clarification to managers and employees on administrative processes.
* Balancing a range of priorities and delivering to deadlines.
* Handling complex queries, analyzing information, and problem solving.
* General competent IT skills such as Microsoft Office suite.
* HRIS experience (Frontier Software).
* Knowledge of HR and/or payroll processes and procedures.
