Wedding & Events Operations Coordinator Opportunity
We are recruiting for a Wedding & Events Operations Coordinator, for Milton Hill, part of The Venues Collection.
As Wedding & Events Operations Coordinator, you will be responsible for the end-to-end operational delivery of weddings and events. The role involves coordinating logistics, supervising on-the-day execution, and ensuring a high-quality experience for clients and guests. This is a guest-facing, hands-on position requiring close liaison with internal departments, clients, and third-party suppliers.
Responsibilities
Event Execution
* Coordinate the operational delivery of weddings, corporate functions, and social events as per agreed timelines and function sheets.
* Act as the primary point of contact for clients on the day of the event.
* Ensure all venue spaces are set up according to specifications (e.g. layout, décor, AV, signage etc.).
* Liaise with kitchen, F&B, reception & housekeeping, and external suppliers to ensure smooth event delivery.
* Manage timelines, problem-solve in real time, and escalate issues where necessary.
Client Liaison And Guest Experience
* Build rapport with wedding couples and event clients, pre-event and on the day.
* Respond professionally and empathetically to client requests, changes, and concerns.
* Maintain a calm and welcoming presence throughout each event.
* Uphold service standards and support colleagues in delivering an exceptional guest experience.
Team Coordination
* Brief and support restaurant, bar, and C&E teams before and during events.
* Monitor staff performance during events, supporting and guiding where required.
* Ensure consistent communication between departments throughout the event cycle.
Administrative Support
* Attend handover meetings with the events sales team.
* Review and interpret function sheets and ensure event details are correctly implemented.
* Record event feedback and contribute to post-event reviews where required.
Health, Safety, and Compliance
* Ensure all events comply with health & safety, fire, licensing, and venue-specific regulations.
* Ensure allergen information is clearly provided to kitchen and restaurant teams
* Report and record incidents or near misses according to company procedures.
