Job Summary
We're looking for an organised and compassionate Administrative Co‑ordinator to join our OCD/BDD National Service team at South West London and St George's Mental Health NHS Trust. This is your chance to make a real difference in mental health care whilst developing your administrative career.
Key Responsibilities
* Act as the first point of contact for patients, families and professionals, managing patient records on RIO and coordinating appointments.
* Support multidisciplinary meetings, prepare agendas, take formal minutes and follow up on actions whilst maintaining strict confidentiality around safeguarding discussions.
* Handle telephone enquiries with empathy, often supporting distressed individuals during difficult times.
* Provide comprehensive secretarial support, including audio‑typing clinical correspondence, managing filing systems and ensuring all documentation meets tight deadlines.
* Coordinate support services, manage stationery supplies, provide reception cover and guide patients to feedback facilities.
* Process referrals with urgency and sensitivity, responding to urgent referrals when necessary and ensuring they are passed on to the appropriate team.
* Support team members in accessing basic information on My Dashboards and Pulse.
* Implement Trust and team policies/procedures and propose changes to practices if necessary.
* Maintain confidentiality at all times regarding all aspects of the service delivery.
Additional Responsibilities
* Maintain accurate and up‑to‑date data on the electronic patient care record or local authority systems, reviewing the Trust dashboard and extracting routine data for the Trust and team members.
* Prepare and distribute agendas and associated papers for multi‑agency meetings, panels, safeguarding meetings and forums; take formal minutes and follow up on actions.
* Coordinate all support services (domestic, catering, security, estates) and act as contact for maintenance issues.
* Order and purchase stationery and office supplies, liaising with the Procurement Team to resolve any problems.
* Photocopy/fax/scan/email as requested by other members of the team.
Competencies & Skills
* Strong IT skills, excellent communication abilities and sensitivity to handle confidential information with discretion.
* Ability to juggle multiple priorities, work independently and as part of a team, and remain calm under pressure.
Qualifications & Development
NVQ Level 3 training available.
