The Person – is this you?
We expect that you will have significant experience in managing a busy office and be familiar with the requirements of supporting a Senior Executive. You will enjoy the challenge of scheduling a dynamic diary with multiple stakeholders, both internally and externally, whilst identifying the priorities for those competing demands. You will be curious to find efficient ways of managing the activities, bringing innovation and creativity to the role.
The Bursar's portfolio covers a large breadth, so you will need to be comfortable with context switching and grasping the strategic issues, to triage e-mail and prepare responses. You may be asked to prepare documents, spreadsheets or presentations, so a good working knowledge of IT packages is essential, with an eye for detail. Most of our governance meetings happen in term time, which can become a pressure. Approaching the tasks with a sense of calmness and pragmatism will be a helpful skill in managing the workload.
If you've worked in the Higher Education sector, that will be helpful, as will the Finance or Legal sectors - but it isn't essential. The key thing we are looking for is the ability to work with a broad range of stakeholders and be ready to adapt to a College environment where you will need to communicate both the pastoral and the technical matters with confidence and sensitivity alike.
We are looking for a team player who is exceptionally organised and self-driven, but also flexible to turn their hand to an unexpected task. As a College, we favour meeting face to face, so you will be comfortable greeting visitors, recording meetings and managing the actions with attendees.
Despite it being a busy office, we take a lot of enjoyment from working together. Our College has global reach and impact, but the local community is small enough that we know each other. We place a high value on wellbeing and hold a number of events throughout the year where we learn or socialise together.
If this sounds like an exciting role for you, then we would love to hear from you.
The College
Thank you for your interest in the position of Bursar's Office Manager & EA at Pembroke College.
This is a rare opportunity to join the Bursar's Office in one of Cambridge's oldest, yet exceptionally friendly, Colleges. We are looking for an outstanding candidate who is keen to join the team and support our Academic Mission.
In return you will be rewarded with a fabulous working environment, varied workload and the knowledge that you are contributing to our 600-year-old history. I hope that this information pack will encourage your interest in the position within a committed, supportive network of colleagues who will share your determination to engage wide and diverse audiences in our work.
The Role and its Purpose
The Bursar's Office Manager and Executive Assistant is an essential role in enabling the Bursar to lead the management and governance of the College on a dayto-day basis.
You will be responsible for the administrative functions of the Office including diary management, maintaining accurate records and tracking actions from the various Committees and meetings. The role needs to provide a secretariat function to meetings and occasionally these may be outside of normal working hours.
The role will support the College's governance process, maintaining any changes to our statutes, keeping a register of our policies and a centralised library of our contracts and agreements. It will also be responsible for applying for various licenses from the local authority. There is an annual requirement to work with the Bursar and the finance team to co-ordinate our annual insurance renewal, which requires liaison with each Department.
As a central role in the heart of the college, it needs to foster collaboration, kindness and be creative in the approach.
