Job Title: Veterinary Team Administrator

Location: Cromwell Vets, Huntingdon, Cambridgeshire

Hours: 25 hours per week, 5X5 hour shifts Monday-Friday. Open to discussing alternative patterns.

Pay: £17,654.38

The Role:

We are looking for a motivated individual to assist the Clinical Director and Practice Manager with administrative duties, to provide consistent and reliable veterinary care to our patients by managing the rota for the Veterinary Surgeons. The role will involve managing appropriate staffing levels through rota planning for our permanent associates and arranging locum cover where necessary.

Previous administrative experience, including managing rotas is desirable, as is previous experience in the setting of a veterinary practice.

MAIN PURPOSE & GOALS

1. Produce accurate and timely rotas for Veterinary Surgeons to ensure consistent provision of veterinary services across all sites during weekdays, weekends and Out of Hours.
2. Utilise opportunities within the rota to support growth and development of Veterinary Surgeons particularly those on the Linnaeus Graduate Development Programme or Early Careers Programme.
3. Manage Veterinary Surgeon holiday and CPD requests as per company policy.
4. Maintain accurate record of staff absence and holiday for payroll reporting.
5. Liase with locum vets and locum agencies to provide sufficient veterinary cover for holiday or periods of vet shortages.
6. Review CV’s and skills matrix for locum vets (in collaboration with Clinical Directors) to ensure locum vets are sufficiently skilled to maintain high clinical standards.
7. Update locum tracker to monitor locum spend per period and work with Clinical Directors to ensure costs remain within budget.
8. Maintain database with contact information for all veterinary locums and agencies.
9. Assist with contract and IT requests for new starters.
10. Provide administrative support to the Senior Leadership Team (SLT).
11. Ensure rota is accurately inputted onto Practice Management System.
12. Book team meetings and manage diary booking accordingly.

KEY RESPONSIBILITIES

1. Ensure adequate number of Veterinary Surgeons available on rota to maintain provision of Veterinary services.
2. Use own initiative to manage any potential reduction in vet numbers.
3. Maintain accurate record of locum use and support SLT to work within budgeted locum spend.
4. Provide administrative support to Senior Leadership Team.
