About the Role
We're looking for a Training Administrator / Planner to work as an integral member of the training team in RNAD Coulport, Helensburgh.
The Training Administrator / Planner is the vital link between RNAD Coulport depot planning and the training department. The role focuses on two key elements:
1. Planning & De‑confliction – develop the annual Statement of Training Requirement (SOTR) and the resulting Training Plan, to coordinate training with production and operational activities.
2. Monitoring & Reporting – generate lead‑indicator metrics that expose risks to achieving a suitably qualified and experienced workforce, and maintain accurate, timely training records.
Key Responsibilities
3. Draft the annual SOTR and translate into a detailed Training Plan. De‑conflict training sessions with operational and production calendars.
4. Compile and analyse metrics that highlight risks to maintaining a suitably qualified and experienced workforce.
5. Maintain excel spreadsheets, update training registers, and produce course reports.
6. Support to Corporate Compliance, Mandatory, and External training requirements.
7. Process purchase orders, obtain quotations for training courses, and archive/file all paperwork.
8. Book resources, classrooms and media, and prepare training materials ahead of each session.
9. Complete visitor access in accordance with security procedures.
10. Monitor training mailboxes and respond to enquiries.
11. Liaise with internal stakeholders and external suppliers to keep training operations running smoothly.
12. Uphold a professional, proactive attitude and ensure all tasks are completed on schedule and to a high standard.
13. General training administration support, as directed by management.

Required skills, qualifications and experience
14. Proven experience in an Administration or Planning role
15. Strong stakeholder‑management skills – able to influence and coordinate across diverse groups.
16. Excellent written and verbal communication, with the ability to produce clear documentation and reports.
17. Proficient in Microsoft Office; advanced Excel, PowerPoint, Word and Outlook.
18. Keen attention to detail, with a meticulous approach to record‑keeping and data accuracy.
19. Highly organised, pragmatic and able to deliver within set deadlines in a fast‑paced environment.
20. Agile, able to adapt quickly to changing priorities and operational demands.
