Role Purpose We are seeking a proactive Office Administrator to provide reliable administrative support to the CEO and the wider organisation. You will also assist the HR advisory team with client-facing administration and help manage day-to-day office operations. Your work will contribute to smooth workflows and enable teams to operate effectively. Key Responsibilities CEO Support Manage the CEO’s diary, prioritising and scheduling meetings efficiently. Oversee the CEO’s email inbox, drafting responses and flagging urgent items. Coordinate the CEO’s social media accounts, including scheduling posts and monitoring engagement where appropriate. Administrative Support Coordinate schedules, meetings and internal events. Prepare and distribute documentation, including reports, agendas and meeting notes. Support teams with day-to-day administrative tasks to ensure smooth workflow. Internal Processes & Operations Assist with the development and maintenance of internal business processes. Identify opportunities for improving efficiency and consistency in administrative operations. Ensure compliance with company policies and standards in all administrative tasks. HR Administration Support Provide administrative support for the HR advisory team, including preparing client documentation, letters, reports and meeting notes. Assist with scheduling and coordinating client meetings, workshops and training sessions. Maintain accurate and up-to-date client records, ensuring confidentiality and compliance with data protection regulations. Support HR advisory projects by organising resources, tracking actions and following up on deadlines as required. CRM & Data Management Maintain and update CRM systems to ensure client and internal records are accurate and current. Generate reports and provide insights from CRM data as required. Communication & Outreach Manage mailing lists and coordinate client or internal communications. Support outreach initiatives, ensuring timely and professional correspondence. What We’re Looking For Proven experience as an office administrator or in a similar administrative role. Strong organisational skills and the ability to manage multiple priorities efficiently. High attention to detail and accuracy in documentation. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); experience with CRM systems is desirable. Excellent communication skills, with the ability to engage confidently with colleagues and clients.
