We are seeking a proactive and talented Implementation administrator to join our dynamic team. Your role will be vital in effectively managing the process from prospect to implementation, and ensuring every aspect is covered, distributed and managed accordingly. DUTIES AND RESPONSIBILITIES: To manage and maintain customer artwork files in a shared accessible facility. To deliver an outstanding customer experience (Internal and external) and fully manage the account set up for Workwear & PPE, from the prospect stage / point of sale right through to handing over the implemented account to the nominated Account Manager Collect data, relevant documentation and other information to create specifications that demonstrate and detail how the account will be implemented for the client, via the Specialist. Create a project plan and schedule that lists each task in the implementation project, taking full accountability for the task and the task's due date. Effectively interpret customer product briefs and requirements, identifying with specialist, the specifications required and determining the most effective method of production as well as identifying appropriate internal solutions to be implemented. Product code creation, either electronic or manually, including settings, attributes, images and customer contract management and InOne setup in a timely manner. Raising and converting quotes for initial orders, and ensuring codes are available to the customer and wider business for ongoing order processing through generic systems and effectively dealing with any incidences of below SLA performance including supplier management Book in, amend, query, and manage supplier invoices and queries daily to ensure no supplier goes on stop unnecessarily and invoices are paid to terms Daily Helpdesk ticket management and full resolution. Daily routine Shop/purchasing and Proforma tracking, including updating Horizon with due dates where necessary. Daily backorder management, upselling and cross selling alternatives or add-on's; updating due dates and booking in any direct orders for customer invoicing; including managing Butterfly backorder report weekly. Managing customer backorder and stock management reports to customer requirements, ensuring all information is accurate and up to date before issuing to the customer within SLA's Arrange pre-production swatches and samples with the customer and raising SORD/PORD to reflect. Manage customer invoice queries, liaising with the customer, account manager and suppliers (internal and external) to correct and resolve the query in line with business practise. Take ownership of customer quotes, enquiries and queries for a full end-to-end resolution and process in a timely manner. Be the first point of contact for Sales specialists to look for support on new account and/or new product set up and implementation. Manage new divisional accounts for the first month and transition with relevant CSM into generic customer service thereafter. Proactively manage artwork requests with in-house digitiser, logo visuals and conversion ensuring signed off completed artwork and DST file is stored in central file, appropriately dated and saved for generic extraction when required. Work with Specialists, to source backorder alternatives, to offer the customer and generic CS teams to reduce backorder lead times and values daily. Work with in house production team to ensure full end-to-end order processing and exceptional customer experience. Always ensure professional and effective conduct and customer (internal & external) management. Use internal software systems to Implement new accounts that benefit Complete but more importantly the customer. Oversee and continually improve the effective implementation accounts, liaising with Sales, internal departments, the Customer and IT to ensure accounts are implemented in accordance with agreed processes.
