This role is perfect for a proactive, detail-oriented individual eager to develop their skills in event management (approximately 30%), venue sourcing (approximately 70%), and client relations within a fast-paced, creative agency.
We're looking for someone with a solid understanding of the events industry who thrives on delivering outstanding results. The ideal candidate will have at least two years of experience and is driven to build strong relationships with clients and suppliers while managing multiple projects simultaneously and keeping a keen eye on the commercial details.
Key Responsibilities
* Client & Project Management: Collaborate with clients and the internal team to understand event briefs, manage expectations, and ensure seamless communication throughout the event life cycle.
* Financial & Commercial Management: You will be responsible for managing event budgets, ensuring projects are delivered profitably. This includes budget tracking, financial reconciliation, and maintaining a strong commercial awareness in all client and supplier negotiations.
* Venue & Supplier Sourcing: Conduct research to identify and propose the perfect venues and destinations. You'll also negotiate contracts and secure the best rates and concessions with suppliers to deliver maximum value for our clients.
* Proposal Creation: Develop professional, detailed event proposals using Google Sheets and Google Slides, ensuring all information is accurate and aligned with the client's vision. Confident in presenting options if required.
* Relationship Building: Cultivate strong, positive relationships with clients and suppliers, consistently providing excellent service to ensure their needs are not just met, but exceeded.
* On-site Management: Take on event management responsibilities, either independently or as part of a team, to ensure the smooth, on-site execution of events.
* Administrative Support: Maintain and update all project files, meticulously tracking actions, deadlines, and budgets to ensure all projects are delivered on time and within financial parameters.
* Industry Knowledge: Stay current with the latest trends and expand your knowledge of venues and destinations by attending industry events, site inspections, and educational trips.
Skills and Competencies
* Experience: At least two years of experience in the events industry is preferred, ideally within the MICE (Meetings, Incentives, Conferences, and Events) sector.
* Financial & Commercial Acumen: The ideal candidate must be comfortable managing event budgets, from initial quoting to final financial reconciliation, and have a solid commercial awareness when negotiating contracts.
* Communication: Excellent verbal and written communication skills with the ability to engage confidently with clients, suppliers, and internal teams.
* Attention to Detail: Exceptional organisational skills and a meticulous eye for detail are crucial for creating accurate proposals and managing complex event logistics.
* Problem-Solving: A self-motivated and proactive approach to tackling challenges and a positive attitude focused on delivering results.
* Tech Savvy: Proficiency in Google Suite (Sheets, Slides, etc.) is essential.
* Flexibility: The ability to manage multiple live projects and deadlines simultaneously while being adaptable to a hybrid work environment (1-2 days in our Central London office). Overseas travel, with some evenings and weekends.
* Travel: Willingness to travel for both site inspections and on-site event management to ensure high-quality delivery.
