Role Details Salary: £14.45 per hour Hours: 14hrs per week Reporting to: Estates & Projects Lead Task Direction: Clerk and Chief Operator (as required) Key Working Relationships: Clerk and Chief Operator (CCO), Estates & Projects Lead, Finance & Estates Data Officer, Market, Hub & Facilities Team, surveyors, contractors, solicitors, tenants, leaseholders, and community stakeholders. Primary Purpose of the Role: To provide practical estates support and assist with project coordination across the charity’s property portfolio, including the Market and Hub as an estate asset (not operational management). The role supports arrears recovery, estates activity, contractor coordination, compliance processes, property administration and early-stage project work, with routine use of Arthur Online as a core system. The postholder will also occasionally cover Market and Hub reception during busy periods or staff absence to maintain business continuity and a professional front-of-house service. The postholder is expected to take ownership of tasks, work independently within defined parameters, and undertake duties commensurate with the level of the role as required. Key Responsibilities: 1. Arrears Support • Maintain arrears records and support recovery activity. • Undertake debtor contact and follow through actions independently. • Support escalation of ongoing arrears. 2. Projects, Contractors & Estates Support • Undertake site visits to support inspections and works. • Coordinate contractor access and follow-up activity. • Support monitoring of work and maintain trackers. • Carry out basic site checks and verification tasks. 3. Property Administration & Records • Maintain accurate records in Arthur Online. • Ensure all activity is recorded and up to date. • Draft routine correspondence and support documentation. • Support the collection of ground rents 4. Development & Regeneration Support • Gather and organise site and project information. • Maintain project files and trackers. • Support surveys and stakeholder engagement. 5. Compliance & Health & Safety Support • Support coordination of statutory inspections. • Maintain compliance records in Arthur Online. • Assist with site safety checks and reporting. • Support Fire Warden and First Aid duties once trained. 6. Communication & Liaison • Act as a point of contact for stakeholders. • Provide information and escalate where required. • Keep internal teams informed of activity. 7. Reception Cover • Provide reception cover as required. • No responsibility for day-to-day Market or Hub operations. Essential Criteria • Strong communication and customer service skills. • Experience in estates, property or project support. • Ability to work independently and manage workload. • Proficient in Microsoft 365 and systems such as Arthur Online (willingness to learn). Desirable Criteria • Experience with arrears recovery. • Experience in property or regeneration projects. • Understanding of landlord and tenant processes.
