Man Bites Dog is seeking a top-tier Executive Assistant to the CEO - a pivotal role where you’ll work in close partnership with a dynamic CEO, enabling her to lead with focus, clarity and impact in a fast‑paced, high‑growth environment. You’ll bring structure, momentum and calm to her days, helping drive both leadership effectiveness and business performance.

Role Overview:
As Executive Assistant to the CEO, you’ll act as her right hand - an extension of her judgment, and professionalism. You’ll bring structure, momentum and calm to complex days, ensuring she is always in the right place, perfectly prepared, and supported by a diary and workflow that reflect real business priorities.
This role spans executive support, strategic partnership, new business coordination, relationship management, and operational planning across our Brighton and London locations (and occasionally across international time zones).
Key Responsibilities:
Executive Support & Strategic Partnership
* Act as the CEO’s right hand and trusted strategic partner, representing their voice, judgement and professionalism.
* Manage and optimise a complex diary across Brighton, London and international time zones.
* Build detailed daily itineraries including briefs, prep materials, logistics and travel.
* Maintain and prioritise the CEO’s to‑do list, aligning actions with available diary windows.
* Identify and review weekly priorities with the CEO.
* Protect focus time and reduce unnecessary internal meeting load.
* Inbox management: triage, draft, respond and maintain impeccable tone.
* Create and refine presentation materials.
* Handle admin and expenses with accuracy and efficiency.
* Maintain absolute confidentiality at all times - modelling discretion and professionalism.
Client Work & Relationship Management
* Build trusted relationships with clients, senior leaders, prospects and internal teams.
* Arrange and manage meetings, calls, and schedules across multiple stakeholders.
* Coordinate client meetings in collaboration with internal client teams.
* Book travel, accommodation and restaurants in the UK and internationally.
* Act as an ambassador for the CEO - greet and host clients with warmth, confidence and professionalism.
New Business Pipeline & Marketing Support
* Manage the CEO’s end‑to‑end new business pipeline and prospect engagement.
* Use HubSpot CRM to log activity, track outreach and ensure flawless follow‑through.
* Prepare the CEO for all new business and prospect meetings.
* Draft and send high‑quality prospect communications.
* Handle inbound enquiries and liaise with the Business Development Manager.
* Support public speaking event logistics and CEO LinkedIn activity.
* Ensure relevant contacts receive invites and timely follow‑ups.
Prioritisation, Delegation & Workflow Management
* Act as gatekeeper and workflow filter - deciding what the CEO owns, what you handle, and what is delegated or deferred.
* Strengthen internal accountability and reduce CEO follow‑ups.
Leadership Team & Operational Support
* Attend senior leadership meetings, take clear notes and track progress on actions.
* Organise off‑site leadership sessions.
* Supporting the team with ad‑hoc work as required.
* Support the People Operations Team during annual leave cover with reception or office tasks.
Ad Hoc Support
* Coordinate occasional personal appointments to ensure seamless integration across professional and personal commitments.
* Produce high‑quality slide presentations to CEO brief.
* Support sustainability and DEI&B initiatives.
* Serve as Fire Marshal / First Aider (training provided).
Requirements
Professional Background:
* A minimum 7 years’ experience supporting a CEO, MD or senior leader in a fast paced, high expectation environment.
* Background in corporate/professional services.
* Strong practical knowledge of London (locations, logistics, travel routes).
Skills & Technical Competence
* Impeccable written English and grammar.
* Outstanding proofreading skills with exceptional attention to detail.
* Proficient in Microsoft Office - Outlook (expert), Word (advanced), PowerPoint (strong), Excel (basic)
* Tech‑savvy with the ability to learn new systems quickly; HubSpot experience is a bonus.
