What will you do?
The role of the Administrator is to provide efficient administrative support ensuring that all the paperwork/electronic processes associated with the job are completed accurately and on time.
Objectives of the role as Administrator, include, but not limited to:
* Entering of Purchase Orders on EBIS for all departments, for sub-contractors, agency labour, lorry repairs etc.
* Entering of weekly and monthly Sales Invoicing on EBIS.
* Running weekly and monthly JDA reports and emailing all warehousing invoicing to the customers.
* Timesheets- Reconciliation of agency labour.
* Preparation of month end reports and working to month end timetable.
* Responding and dealing with invoice queries with HT accounts department and external suppliers.
* General purchasing, in particular warehouse consumables, stationery/workwear ordering and controlling of stock.
* Booking hotel accommodation, arranging flights and train tickets.
* TDSI Portal - Creation and amending passes for site access.
* Drug testing new starters (training will be given).
* Setting up and booking of meeting rooms. Provision of refreshments. Clearing and tidying meeting rooms, kitchen and the office in general.
* Actioning adhoc request from the management team.
* Answering telephone and dealing with questions as appropriate or taking messages.
* Answering intercom, taking in deliveries and dealing with visitors.
* Sorting incoming and outgoing post.
* Provide administration cover for other team members during holiday periods and sickness.
Your CV and experience show:
* At least two years- relevant experience or NVQ qualification in office administration
* Exam passes in English and Mathematics
* Knowledge of modern office procedure and methods including the use of telephones, fax and other office systems
* Basic PC literacy and the ability to use/learn software packages that is applicable to the job.
* Ability to prioritise, work independently and make progress on tasks with minimal supervision
* Good interpersonal skills to able to deal with people at all levels.
