We are currently seeking an experienced individual to join this team in the role of Personal AssistantWe are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to a dynamic team of four. In this role, you will play a crucial part in ensuring the smooth operation of daily activities, optimizing efficiency, and facilitating seamless communication within the team.Responsibilities:Diary Management: Coordinate and manage the Manager's team members' schedules, including meetings, appointments, and travel arrangements, to ensure optimal time utilization.Administrative Support: Assist with various administrative tasks such as drafting emails, preparing reports, managing documents, and maintaining organized filing systems.Meeting Coordination: Arrange and coordinate team meetings, prepare agendas, take meeting minutes, and follow up on action items to ensure deadlines are met.Travel Coordination: Arrange travel logistics for team members, including transportation, accommodation, and itinerary planning, to ensure smooth and efficient travel experiences.Task Prioritization: Prioritize tasks and requests effectively, ensuring that urgent matters are addressed promptly and efficiently.Confidentiality: Maintain confidentiality and discretion in handling sensitive information and documents related to the team's activities and projects.Qualifications/Experience:Previous HSBC experience Proven experience as a Personal Assistant or similar role, preferably supporting a team or manager in a fast-paced environment.Exceptional organisational and time-management skills, with the ability to multitask and prioritize effectively.Strong communication and interpersonal skills, with the ability to interact confidently with individuals at all levels.Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with calendar and email management tools.Discretion and professionalism when handling confidential information and sensitive matters.Resourcefulness and the ability to work independently with minimal supervision.A proactive attitude and willingness to take on additional responsibilities as needed.If you think you are up for the task and feel you meet the above criteria or interested to hear more information, please contact me on Amy.walker@tapfin.comPlease note, in the event of a high volume of applications for this role, we will not be able to respond to each individual applicant.
