Our client is a very early-stage financial services provider operating in the personal finance and business banking space. They aim to launch their business focusing on credit cards, then expand into personal and business current accounts, and eventually apply for a banking license.
They have substantial funding, making this opportunity particularly exciting, surpassing many well-known fintechs at this stage.
The role of the Executive Assistant / Office Manager
This role involves organizing and coordinating office administration and procedures to ensure efficiency, effectiveness, and safety. The Executive Assistant / Office Manager will also provide high-level administrative support to the Managing Director and occasionally to the future Board of Directors.
* Manage office organization, oversee reception, liaise with IT support, manage projects, ensure deadlines are met, and handle company documents securely and confidentially.
* Coordinate calendars, schedule meetings, handle correspondence, and manage HR matters, acting as a liaison between management and staff.
* Perform duties professionally, adhering to company procedures, policies, and guidelines.
Duties & Responsibilities
The main responsibilities include, but are not limited to:
* Ensure compliance with Health and Safety and GDPR regulations in office operations.
* Establish and maintain effective electronic and physical filing systems; develop data management procedures.
* Collaborate with IT support for office hardware/software needs and review projects.
* Maintain and update the company website and social media accounts regularly.
* Use the Property Management System (Qube) for reporting and data analysis.
* Manage office supplies and liaise with suppliers.
* Recruit, induct, and mentor office staff; maintain employee and training records; propose developmental training; handle disciplinary actions when needed.
* Review and update the Employee Handbook to ensure legal compliance.
Administrative Duties
* Organize and schedule appointments and meetings, resolving diary conflicts.
* Attend meetings, take minutes, and circulate them.
