The Shore Group is proud to be partnering with a long-established, family-run HVAC contractor in their URGENT search for a Service Co-Ordinator (Scheduler) to join their growing operations team based in Hitchin.
With a heritage dating back to 1982, this business has evolved from heating-focused contracting into a full-service provider across HVAC – covering air conditioning, ventilation and refrigeration maintenance – primarily servicing commercial clients in and around Greater London.
This role plays a pivotal part in ensuring the smooth and efficient delivery of both planned preventative maintenance (PPM) and reactive service works, coordinating a team of directly employed engineers and trusted subcontractors.
Role Overview
As a Service Co-Ordinator, you’ll take charge of the daily and weekly scheduling of HVAC engineers, balancing proactive PPM works with reactive callouts. You’ll be the central hub between clients, engineers, and internal teams – ensuring clear communication, timely service delivery, and a consistently high standard of customer experience.
This is a fast-paced role that requires strong planning, an eye for detail, and the ability to adapt quickly to changing priorities.
Key Responsibilities
* Schedule and coordinate both proactive and reactive maintenance jobs.
* Manage and book urgent callouts.
* Order and track parts/equipment to site.
* Liaise with clients, engineers, and internal admin teams to ensure service delivery.
* Maintain job records, track outstanding work, and report to line manager weekly.
What We’re Looking For
* Ideally, you’ll have prior experience scheduling or managing a team of 15+ field-based engineers or similarly skilled mobile operatives (e.g. electricians, plumbers, maintenance technicians).
* Highly organised with the ability to work under pressure.
* Process-driven and systems-focused mindset.
* Confident communicator – able to uphold service commitments with clients.
* Strong IT skills; familiar with job management systems/software.
* Willingness to learn the technical side of HVAC through on-the-job exposure and online resources.
Preferable Experience: (Not Necessarily Essential)
* Previous experience in FM, HVAC, or engineering services.
* Understanding of PPM and reactive maintenance workflows.
Performance & Development
You’ll be supported with clear KPIs once established in the role – covering service delivery performance, engineer productivity, and client satisfaction.
Formal performance reviews are held every 6 months with a focus on your personal and professional growth within the business.
