This is an exciting opportunity for an experienced and highly organised Executive Assistant to provide dedicated support to the Head of HR in a dynamic, fast-paced environment.
This role offers hybrid working with the flexibility to work from home 1-2 days per week, with the idea to mirror when the Head of HR is in the office.
The ideal candidate will be proactive, detail-oriented, and adept at managing competing priorities while maintaining discretion and sound judgement. This role plays a vital part in ensuring the Head of HR can operate efficiently and effectively.
You'll bring strong organisational and communication skills, a collaborative approach, and the confidence to engage with senior stakeholders. Proficiency in PowerPoint is essential, as preparing and formatting high-quality presentation materials is a regular requirement.
WHAT YOU’LL DO:
* Provide comprehensive EA support to the Head of HR, including complex diary and inbox management.
* Prepare and coordinate Executive and Board-level reports, ensuring presentations are professionally formatted.
* Manage communication and scheduling needs, prioritise urgent matters, and resolve conflicts to ensure the smooth running of the Head of HR’s office.
* Organise travel and accommodation, often across multiple time zones and at short notice.
* Engage professionally with internal and external stakeholders, collaborating closely with other Executive Assistants.
* Prepare and distribute board packs, agendas, and meeting invitations; manage logistical arrangements.
* Attend key meetings to take minutes, track actions, and ensure timely follow-up.
* Draft, proofread, and summarise correspondence and documentation for the Head of HR.
* Support the wider HR team with administrative tasks and internal event coordination.
* Maintain efficient digital and physical filing systems.
* Contribute to strategic HR projects, ensuring timely progress updates.
* Demonstrate professionalism, diplomacy, and cultural awareness in all interactions.
WHO YOU ARE:
* Extensive experience in a similar Executive Assistant role, ideally within a large or complex organisation.
* Exceptional organisational and time-management skills, with the ability to manage multiple stakeholders and deadlines.
* Excellent communication skills, both written and verbal.
* Advanced Microsoft Office skills, particularly in PowerPoint.
* Proven ability to work independently, maintain confidentiality, and use sound judgement.
* Flexible and calm under pressure, with a solution-oriented mindset.
* Experience coordinating across functions, time zones, and cultures.
