Due to continued success and growth, Envisage Dental are seeking a proactive, highly organised, and discreet Executive Assistant (EA) to support our CEO, Harry Gill.
Envisage Dental is a fast-growing dental group specialising in acquiring high-quality private dental clinics. We are proud to be a B Corp certified organisation, founded in 2014 by our Co-Founders, husband and wife team Harry Gill and Dr. Sandy Dau. We are redefining group dentistry by using our business as a force for good.
This role is central to the smooth running of our CEO's time management including board logistics and governance, providing essential coordination, diary management, logistics, and planning across a range of strategic and operational activities. You will be a trusted partner to the CEO: one step ahead, helping him manage time effectively, and you'll be comfortable working in a dynamic, fast-paced environment with a group of senior stakeholders.
Key responsibilities as an Executive Assistant:
* Act as a gatekeeper and trusted partner to the CEO; managing complex diaries, inboxes, and logistics with professionalism and discretion.
* Coordinate internal and external meetings across the senior leadership team, including weekly/quarterly check-ins, board and committee meetings, and strategic offsites.
* Own end-to-end logistics for senior leadership gatherings: scheduling, travel, venue booking, agenda collation, and paper distribution.
* Ensure board and committee meetings are well-attended, balanced between in-person and virtual, and supported by timely distribution of papers and minutes.
* Work with the Chair and executive sponsors to support preparation of agendas and track key follow-up actions.
* Manage attendance and engagement at leadership meetings - helping maintain momentum and accountability between sessions.
* Liaise with external speakers, stakeholders, and attendees as required.
* Book venues for company-wide wrap-up meetings and ensure audio/video and presentation equipment is in place.
* Send calendar invites, manage RSVPs, and dietary requirements.
* Diarise and coordinate virtual wrap-up meetings as needed.
* Assist in the planning and delivery of the following key events: One Team Event (our annual get-together), Clinical Council Events, Principal Events, Hub events for support teams.
The requirement to be in the office will align with times the CEO, Senior Leadership Team or Board are visiting; therefore, on an ad-hoc basis, you may need to:
* Ensure guests are greeted and checked in appropriately.
* Maintain and replenish refreshments in meeting areas.
* Train teams on booking meeting rooms and help manage conflicts or overlaps.
As we're a scaling business, you'll have the opportunity to get involved in wider projects and evolve the role as we grow.
About you:
We are looking for someone who can thrive in a growing business and enable the CEO and Executive Team to operate at their most effective. To be successful in this role, you must have:
* Proven experience supporting a CEO, C-suite or senior leadership team in a fast-paced or high-growth environment. Ideally with multiple executives.
* Outstanding organisational and communication skills.
* High emotional intelligence, professionalism, and discretion.
* Flexible and solutions-focused: able to juggle shifting priorities.
* Confident in Microsoft Office, Google Workspace, and collaboration tools like WorkVivo, Teams, and Zoom.
* Comfortable with regular travel to Basingstoke, London, or other event locations.
What would set you apart:
* Experience in a multi-site, high-growth, or Private Equity-backed business.
* Familiarity with governance processes and board-level communication.
* Previous involvement in operational or strategic projects.
* Implementation of automated workflows using AI or smart tooling.
What Envisage can offer you:
* Competitive salary.
* Hybrid working model – with an average of 2 days per week at our Hub in Basingstoke.
* Flexible working options – we're open to reduced hours (80%) & job-sharing arrangements.
* A chance to develop your career in a fast-growing and successful business.
* A supportive and values-driven company culture.
* Contributory pension scheme.
* Holiday purchase scheme to give you more flexibility.
* An extra paid day off for your birthday – because your time matters
* Dental benefit scheme to keep your smile healthy.
* Opportunities to support our charity partner, Operation Smile, helping to change the lives of thousands of children.
