About the Role
We’re looking for a sharp, proactive, and highly organised Executive & Operations Assistant to support our Managing Director & Executive Team and keep our internal operations running smoothly.
This is not just an admin role — you’ll be the go-to operational backbone, helping us stay organised, on time, and moving forward. You’ll work closely with the Executive team, balancing day-to-day execution with a bird’s-eye view of what needs to happen next.

What You’ll Be Doing
- Providing executive support: inbox and diary management, handling scheduling, organising
- Managing key internal processes: onboarding new Franchise Owners, suppliers, co-ordination studio fit-outs, document control, record-keeping, and studio/franchisee comms
- Coordinating with suppliers, contractors, and franchisees
- Maintaining and updating systems (CRM, training logs, ops templates, file management)
- Supporting compliance, invoicing, and franchise operations
- Preparing reports, contracts, presentations and SOPs — often working from loose guidance
- Contributing to customer service, marketing logistics, and general admin
- Pro-active: Anticipating what’s needed next and juggling multiple tasks with an eye for efficiency and prioritisation
What We’re Looking For
- Proven experience in executive assistance, operations coordination, or similar roles (bonus if in a startup or franchise)
- Exceptional organisation and calm under pressure — you get things done without being chased
- Strong written and verbal communication skills plus a growth mindset. Comfortable doing small group presentations online and at in person meetings
- Proactive mindset — you take initiative, flag problems early, and don’t wait to be told what to do
- Tech-savvy: confident with Google Workspace / Microsoft Office, and comfortable learning new tools (CRM, project trackers, etc.)
- Discretion and professionalism when handling confidential info and interacting with stakeholders
- Bonus: exposure to social media scheduling tools, small team environments, or fitness/wellness brands
