We are seeking a highly organised and proactive Commercial Coordinator & Executive Assistant to support our Operations Director. This pivotal role requires someone with excellent administrative capabilities, exceptional attention to detail, and a high level of professionalism.
The ideal candidate will be confident, discreet, and capable of handling a variety of responsibilities. As our Company continues to grow, this role will also involve engaging with key stakeholders, contributing to strategic initiatives and will provide opportunities for progression.
Key Responsibilities
* Assist in drafting, reviewing and managing commercial contracts and agreements
* Monitor contract deadlines, renewals and amendments to maintain an updated contract repository
* Build and maintain accurate records, files related to commercial activities
* Provide comprehensive diary and calendar management
* Schedule and prepare agendas and organise reports ahead of meetings
* Take accurate and professional meeting minutes
* Manage and monitor email in-box with discretion and appropriate tone
* Schedule and book meetings, travel and accommodation
* Track and follow up on key actions and deliverables
* Conduct research and compile relevant information as needed
* Support the organisation of business events, workshops, and key company initiatives
* Undertake ad-hoc projects and other activities when required
Essential Skills and Experience
* Preferable experience in a similar role
* Thorough attention to detail and accuracy in all aspects of work
* Strong organisational and multitasking skills, with the ability to prioritise effectively
* Excellent written and verbal communication skills with a strong command of English
* Proficiency in Microsoft Office Suite
* High levels of discretion, ethical standards, and sound judgement
* A problem-solving mindset and the ability to use initiative and remain calm under pressure
* Ability to work both independently and as part of a team
* Full UK driving licence and willingness to travel, including occasional overnight stays
