Role Description
This position will report directly to the Thérapie Fertility Chief Operating Officer.
The Clinic Manager will be responsible for the smooth running of the clinic on daily basis, ensuring the clinic is maintained at the highest standards of health, safety, efficiency and effectiveness.
The Clinic Manager is responsible for reporting/supporting all feedback mechanisms
The Clinic Manager is responsible for ensuring all relevant training/development opportunities are provided to new/current members of the patient services team.
Optimising the use of IT systems that will support smooth running of the clinic such as Hubspot, IDEAS, Softworks, Digital Well, Digital Consent, Global Payments, QPulse, ensuring that all tech solutions are tailored to the business needs.
Ensuring maintenance of the facilities
Supporting Marketing team with content, and reports
Responsibilities & Duties
* Managing the patients services team and associated rosters and allocation of duties
* Ensuring smooth running of clinic with diary management
* Smart appointment allocation in accordance with the clinic booking systems
* Ability to delegate to all staff and ensure all tasks and duties are completed
* Ability to engage and motivate the team
* Reviewing and updating new SOP’s for systems and procedures
* Ensuring that Orders on IDEAS and portal messages are monitored on daily basis and actioning them.
* Managing new patient enquiries (Leads) and consultation bookings
* Liaising with the management team to ensure the highest standards are maintained.
* Ensure all resources are working together to optimise, efficiency and patient safety.

* Ability to prioritise duties that may be time sensitive.
* Hiring and training new staff and providing induction training
* Ensuring the clinic meets operational targets
* Prepare a weekly activity reports
* Attend a weekly operations review meeting
* Clinic Reputation management through word of mouth and Google Reviews, Trust Pilot
* Feedback Management to ensure all patients have a smooth, uniformed, and positive journey.
* Motivates, guides and mentors team members to creates a positive environment
* Performance Management through instant feedback, 1-2-1 meetings and annual reviews.
* Rostering and holiday allocation/leave management through Softworks.
* Supporting COO, Nurse Manager, Lab Manager and Medical Director
* Champion and support the implementation of new protocols
* Running and following up on financial reports, deferred revenue and revenue recognition
* Project work
* Ensuring a culture of safety is maintained at the clinic
* Attend and participate in the sustainability group
* Cash Management i.e., lodgments, Petty cash claims, Invoice approval, Expense approvals
* Approval of credits and refunds
* Support recruitment activities
* Ad hoc duties as required
Qualifications
* Management Experience
* Customer Service and Communication skills
* Experience in Financial Management
* Experience working in healthcare or other relevant setting
* Excellent organisational and leadership skills
* Strong problem-solving capabilities
