Position: Academic Administrator

Location: ON-SITE – Stratford, London, UK

Work Schedule: Monday to Friday, 9AM to 5PM

Salary: £ 23,000 - £27,000 per annum (dependent on qualifications and experience)


Reports to: Academic Manager and Academic Dean

Employment Type: Full-Time




Role Purpose

A highly organised and proactive individual with a can-do attitude is required to provide comprehensive administrative support to the Dean, Academic Manager, Programme Leaders, and the wider academic team. This role will support WC’s programmes, especially Business and Management (with Law), LLB, CertHE, and Foundation programmes.



Core Responsibilities

Governance support:

* Provide administration support for the main College committees, including acting as the Clerk to each committee.
* Ensure that the organization of committees is professional, consistent and well-organized.
* Ensure that owners of agenda items are approached for papers ahead of meetings, and seek to limit the last-minute tabling of papers wherever possible.
* Ensure that committee minuting is comprehensive, clearly written in an excellent standard of English and professional, and that minutes are available promptly after each meeting.
* Ensure that actions on committee minutes are robustly tracked and that action owners are prompted for updates ahead of the next meeting.
* Train other staff as required in the requirements for committee minuting and action management.


Coordination and Scheduling:

* Support the coordination of the allocation of lecturers for each cohort based on subject requirements and availability.

* Support the monitoring class attendance, provide regular reports and ensure any identified issues are addressed promptly.
* Support the Academic Manager to robust management of assessments, including planning for staffing to cover assessment marking, second marking, moderation and transfer to the partner university for their oversight processes within the required timeline.
* Communicate effectively with students regarding class schedules, assessments, and additional support sessions.
* Working with the Student Success team and the Academic Manager, organize any identified required additional sessions or workshops to support students' development and address their academic needs.
* Act as a point of contact for lecturers' queries and concerns.
* Plan & organise student induction sessions in liaison with the Academic Manager.
* Support the induction and orientation of new academic staff after onboarding.


Strategic Planning:

* Contribute to the strategic planning and development of academic programmes to ensure they meet industry standards and student needs.
* Assist in the development of new courses and academic initiatives.


Data Analysis and Reporting:

* Analyse student performance, attendance and engagement data to identify trends and areas for improvement.
* Prepare detailed reports for senior management, highlighting key performance indicators and suggesting actionable improvements.


Quality Assurance:

* Support initiatives to enhance the quality of teaching and learning, ensuring compliance with accreditation standards. Supporting duties and projects with the Academic Quality Officer.


Stakeholder Engagement:

* Liaise with external stakeholders, including industry partners and accreditation bodies, to enhance the institution\'s reputation and collaborative efforts.
* Represent the institution at external events as requested.


Technology Integration:

* Support the integration of educational technologies to enhance teaching and learning experiences.


Mentorship and Development:

* Mentor and support junior staff and lecturers, providing guidance on professional development.
* Organise and lead professional development workshops and training sessions.


Performance Management:

* Create and maintain a supportive working environment for lecturers, addressing any concerns or issues promptly.
* Update track sheets for lecturer payments and HR purposes, ensuring accurate payroll processing (hourly paid lecturers, invoice, full time).
* Monitor lecturer performance and report any absence or performance issues to the AM/CAM and HR for appropriate action.
* Provide constructive feedback and support to lecturers to improve their teaching effectiveness.



Knowledge, Skills, Experience and Personal Attributes

Qualifications:

* UK Bachelor’s degree - essential


Skills:

* IT literacy and proficiency in MS Office and the databases - essential
* Good spoken and written English and the ability of communicate clearly - essential
* Experience working with Higher Education environment - desirable
* Ability to work as part of a small team and also to use initiative and work autonomously when required - essential
* Good people skills and the ability to relate to people of all ages and backgrounds -Essential
* Ability to be discrete and maintain confidentiality at all times - essential


Experience:

* Previous experience in an administrative role - essential
