Job Overview
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong office experience and administrative skills, providing essential support to ensure the smooth operation of our office and workshop. This role requires a proactive individual who can manage multiple tasks efficiently while maintaining a high level of professionalism and customer service.
Responsibilities
* Responsible for receiving a high level of incoming calls and manning reception desk, ensuring each call dealt with correctly with high level of customer service.
* Handle phone calls with excellent phone etiquette, addressing inquiries and directing calls as necessary.
* Responding to customer enquiries via email, social media, telephone and face to face.
* Diary management using internal booking system.
* Communicate repair required to customers vehicles clearly, selling the job and answering any doubts they may have – helping them to make a decision.
* Key liaison between Customer/Workshop/Office.
* Have good control and knowledge over vehicle repair and collection, with good communication between teams for ultimate efficiency and turnaround of vehicles.
* Updating database with customer information accurately.
* Generating invoices and taking payments.
* Liaising with customers, workshop and external subcontractors.
* Assist Office Manager with Health & Safety responsibilities.
* Help train new entrants into the office team.
* Assisting the Office Manager with any duties asked to perform within the team.
* Take control of the team & duties when Office Manager is absent.

Experience
Ideal previous experience includes any customer facing/ customer service roles, experience in an office.
