Responsibilities
* Manage the day‑to‑day running and wider operational activities of the practice across all sites.
* Manage practice staff, encourage and promote individual skill sets.
* Maximise the practice’s potential income and improve patient care in line with QOF, enhanced services and other targets.
* Improve data quality and effective communication with patients for attendance for long‑term condition reviews.
* Identify and implement changes to data management systems, facilitate training and provide management support within projects and departments.
* Deal with all operational matters and contribute to developing strategies for the practice.
* Lead and motivate the team to achieve targets, ensuring performance review systems are effective and well maintained.
* Oversee health and safety of all staff and patients and ensure CQC compliance.
* Coordinate with PCN and other practices to develop services, meet targets and apply continuous improvement.
* Ensure accurate reporting for national, local and practice targets; collaborate with clinical and non‑clinical teams.
* Analyse income streams, ensure accurate claims submission, and work on maximising income.
* Maintain appointment scheduling efficiency, handle patient compliments, comments and complaints.
* Validate patient information and KPIs, perform regular checks and quality audits.
* Attend meetings on behalf of the practice, including evenings and weekends.
* Deliver training to internal staff on an ad‑hoc basis or during group sessions.
* Monitor risks and clinical governance processes.
* Perform any other reasonable tasks as required by the Practice Manager or Partners.
* Be available to represent the practice to outside agencies and coordinate professional services.
Key Additional Roles
* Finance – Support the Management Team in delivering cost‑effective service, ensure appropriate financial systems, contribute to profitability, savings and efficiency plans, staff performance schemes, premium accommodation, health and safety, and premises issues; main point for external contractors.
* Information Technology – Set up new users on IT platforms, manage telephone system issues, lead efficiency improvements via IT system changes, and support system integration.
* Representation of the Practice – Liaise with outside agencies, partners, and staff to ensure professional service delivery and uphold standards.
* General – Undertake any specific managerial duties required by the Practice Manager or Executive Partner.
Person Specification
Experience
* Experience working with the general public, administrative duties, and managing staff.
* Excellent written and oral communication skills.
* Effective time management and ability to work independently and as part of a team.
* Strong problem‑solving and analytical skills.
* Customer service experience and ability to maintain confidentiality.
* Prioritise workload, work well under pressure, and use own initiative.
* Experience premises management, working in a healthcare setting, and in general practice.
* Working knowledge of SystmOne, CQRS, Open Exeter and understanding of practice incomes.
Qualifications
* Educational level: GCSE with Maths and English (C or above) or higher education (degree or masters).
* Evidence of continued professional development relevant to this post.
* Management qualification (e.g., NVQ, professional body).
