Junior Office Manager by title, this is much more than an office support role – it’s about taking ownership of our workspace flow, supporting team colleagues & daily agency operations. You’ll be the vital force keeping things running smoothly, ensuring every detail is handled – from opening the doors in the morning, managing meetings, coordinating team logistics, assisting with research & new business deck design, feeding into our HubSpot data, to ensuring we have great coffee & a welcoming atmosphere for our valued client guests.
To succeed, you must enjoy getting involved. You’ll also be a team player, able to prioritise tasks, and possess excellent written communication & interpersonal skills.
Role in more detail: What You’ll Own:
* Maintain our space – from opening up to keeping a tidy environment & stocked kitchen
* Organise weekly team breakfast, lunch & catering
* Manage supplies, recycling, waste, fridge patrol & liaise with cleaners
* Oversee meeting rooms: prep, refreshments, greeting guests & clean-up
Reception & Hospitality Duties
* Be the friendly voice & welcoming face at the door
* Host client meetings with care – great coffee, thoughtful setup, no detail missed
HR Coordination & Culture Support
* Coordinate onboarding, health & safety briefings & keep HR documents updated
* Support policy rollouts & answer team questions
* Plan team socials, birthdays & milestones
Finance Admin (with our Finance Manager)
* Help process expenses, reconcile cards & track purchases
* Manage budgets for breakfast/lunch & oversee supply spending
* Monitor insurance renewals & paperwork
Team Support
* Book team travel & hotels, support supplier relationships
* Provide basic PA support to Directors – travel, expenses, paperwork
* Assist with presentations/slides – PowerPoint experience is a plus
CRM & Data Management: HubSpot
* Keep client data clean & up to date
* Develop your understanding of HubSpot platform
* Assist with IT queries & office equipment logistics
* Log IT issues & manage equipment & software
* Own meeting room AV (Poly) & train team as needed
