Basset Down Complex is an established, family run site celebrating its 20th year this summer. Our beautiful setting is just a few minutes off Junction 16 M4, overlooking the North Chalk Downs between Royal Wootton Bassett & Wroughton. Over the years we have expanded our offering into so much more than a golf course.
Today our Complex is vibrant and busy offering the public use of our golf course, large 'TopTracer' driving range, two footgolf courses, disc golf & Padel tennis courts. We also have an incredible destination restaurant overlooking the views at Basset Down with a large south facing balcony, large patio, bars and lounge areas for everyone to enjoy. So many clients come here to enjoy family meals, drinks with friends, relaxed breakfasts, brunches, lunches, and suppers.
In addition to all this we also have a thriving events business. Our function spaces have a contemporary and uncluttered feel. Upstairs we have Withymead taking up to two hundred guests and has a huge balcony, downstairs Burnbake offers a smaller space taking up to fifty clients with direct access out onto our patio. Both rooms have their own bar & toilets with separate entrances.
We specialise in the personal, the bespoke… not restricted by corporate guidelines, we can build a package to suit our clients' needs from Corporate meetings, Dinner & Dances, family celebrations, Weddings, Wakes, Anniversaries and special events such as our Christmas Market, Sip & Paint evenings, Book Launches to name a few.
We are currently looking for an experienced Event Coordinator to join our Events Team and to assist our Events Manager in the selling, organising and delivery of a wide variety of successful events.
The Role
As our Event Coordinator working closely alongside the Events Manager, you must have plenty of proven and relevant experience, lots of ideas and enthusiasm and an excellent work ethic.
Working as part of a fun and friendly team, you will contribute to our existing systems and processes and be responsible for event planning and management, as well as successfully leading the front of house team during events.
The role requires a high level of personal organisation and attention to detail, and the ability to quickly gain the confidence and respect of both the client and the team. You will work well under pressure to ensure the smooth and efficient operational running of each event, whilst also ensuring that this is backed up by accurate planning and administration in all areas.
You must be able to build and maintain relationships with the team, and with clients, always acting in a professional, friendly and welcoming manner.
Key responsibilities include:
· Responding to incoming enquiries via email & telephone and arranging meetings to discuss events in further detail
· Following up on enquiries in an organised and systematic manner
· Building strong relationships with new and potential clients whilst always showing outstanding customer service
· Overseeing the smooth running of a wide variety of events from start to finish, including drink & food service, supplier liaison and room turn arounds
· Accurate event planning and documentation including the use of online planning software
· Producing detailed function sheets for events using word & excel to send to clients and use internally for food production and ordering
Our ideal candidate should:
· Have proven, relevant experience running events in a hospitality-based setting
· Excellent communication skills and a professional, friendly approach
· Be organised, detail-driven, and able to manage multiple events simultaneously
· Communicate clearly and confidently with clients, colleagues, and suppliers
· Thrive in a fast-paced, high-pressure environment
· Be confident in leading and motivating teams during live events
· Be self-motivated and able to work independently when needed using initiative
· Have excellent admin and IT skills (Outlook, Word & Excel)
· Be approachable, professional, and guest-focused always
· Have a full UK driving license & access to a car
This is a full time, permanent role over 5 days per week including weekends, bank holidays and evenings as required.
