Digital Project Manager – Job Description Train Scheduling/Planning Systems Replacement Project This role will lead the delivery of software application projects across the organisation and will be responsible for managing the full lifecycle of application development and deployment—from requirements gathering to release—ensuring projects are delivered on time, within scope, and aligned with business goals. The specific scope of services to be provided by the Digital Project Manager for the replacement and migration of a train planning tool across multiple Train Operating Companies. The Digital Project Manager will oversee the planning, execution, and monitoring of all activities related to the project. It is expected that the Project Manager will be ‘hands on’ and have the necessary skills, drive and experience to help support and deliver all aspects for successful delivery. Project Objective Successfully procure and replace the existing train planning tool with a new system. Migrate data and processes from the legacy tool to the new system. Ensure minimal disruption to train planning operations during the transition. Achieve project milestones within the agreed timeline and budget. Ensure the new train planning tool meets all functional and technical requirements including required integrations. Provision of the necessary support structure to ensure the continued use and support of any new tool/s. Key Responsibilities Plan, execute, and oversee application development and implementation projects. Collaborate with cross-functional teams including developers, QA, business analysts, and stakeholders. Define project scope, goals, deliverables, and success criteria. Manage project timelines, budgets, and resource allocation. Monitor progress and adjust plans as needed to meet deadlines. Facilitate communication between technical teams and business units. Ensure compliance with internal standards, security protocols, and regulatory requirements. Conduct risk assessments and develop mitigation strategies. Maintain comprehensive project documentation and provide regular status updates to leadership. Scope of Work The Digital Project Manager will be responsible for the following tasks: Review and confirm project strategy and approach, as well as the scope, with input from Sponsor(s) and Business Lead. Developing a more comprehensive project plan, including work packages, deliverables, and the resources required to deliver them. Identifying, assessing, and managing project risks, issues, and mitigating actions throughout the project lifecycle. Identifying and managing project dependencies, both internal and external, to ensure smooth project execution. Ensuring delivery to required quality levels and standards, adhering to industry best practices. Overseeing adequate product/system testing and alignment of testing/acceptance to project scope and requirements. Providing leadership, motivation and, where required, support to the Project Team to ensure successful project delivery. Coordinating project activities and resources according to the project plan and associated deliverables. Monitoring project progress to ensure adherence to the timeline and budget. Managing any changes to the project scope, schedule, resources, or budget as necessary, while ensuring alignment with project objectives. Managing the delivery of expected project outcomes and benefits, ensuring they meet stakeholder expectations. Producing Steering Committee reports, slide packs, and identifying required decisions/actions for review and approval. Escalating risks, issues, and decisions, as required, to the Steering Committee for resolution. Deliverables The Digital Project Manager will deliver the following: Project Plan: Detailed plan outlining tasks, timelines, dependencies, and resource requirements. Status Reports: Regular updates on project progress, issues, and risks. Training Materials: Documentation and training materials for train planners and other end-users. Post-Implementation Report: Assessment of project outcomes and recommendations for improvement. Essential Skills 5 years of experience in project management, with a focus on software applications. Strong understanding of SDLC, Agile, and Waterfall methodologies. Proficiency in project management tools (e.g., Jira, MS Project, Trello). Excellent communication and stakeholder management skills. Ability to translate business needs into technical requirements. Experience managing application upgrades, migrations, or integrations. Strong analytical and problem-solving skills. Ability to manage multiple projects simultaneously in a fast-paced environment. PMP, PRINCE2, or Agile certification preferred
