The Opportunity
An established and highly respected wealth management firm is looking to recruit a Senior Wealth Planning Assistant to provide high-quality administrative and client support to Wealth Planners. This is a key role within the business, focused on delivering excellent client outcomes through efficiency, accuracy, and outstanding service.
You will act as a central point of contact between clients, Wealth Planners, internal teams, and third-party providers. Alongside your core responsibilities, you will play a vital role in supporting, mentoring, and sharing best practice with more junior members of the team.
Key Responsibilities
Administrative Support
1. Provide high-quality administrative support to Wealth Planners in line with internal processes and compliance framework
2. Ensure all documentation meets company standards with excellent accuracy and attention to detail
3. Support submission of cases to the paraplanning team
4. Handle finance-related queries including invoices, billing, WIP, and commissions
5. Produce accurate Service Agreements where required
6. Demonstrate flexibility when supporting different internal stakeholders
Client Support
7. Coordinate central services such as paraplanning, valuations, and business processing
8. Prepare and submit CDD and new account documentation in line with AML procedures
9. Arrange client meetings, prepare meeting packs, manage diaries, and oversee valuations
10. Complete post-meeting actions and maintain accurate meeting records
11. Act as a first point of contact for clients, handling general queries and escalating complex matters
12. Meet and greet clients, manage correspondence, and prepare letters of authority
13. Prepare client application forms in line with suitability recommendations and ensure timely processing
14. Maintain accurate client records on XPlan and all associated systems
Additional Responsibilities
15. Assist with the training and quality-checking of junior team members
16. Share knowledge, best practice, and expertise to strengthen team performance
17. Support the wider team during busy periods
18. Proactively contribute to efficiency and process improvement initiatives
19. Undertake relevant technical and professional training and maintain CPD
Candidate Requirements
Essential:
20. Strong understanding of the end-to-end Wealth Planning process
21. Knowledge of financial planning products
22. Excellent customer service and communication skills
23. Strong numerical ability with exceptional attention to detail
24. Highly organised with excellent planning and prioritisation skills
25. Confident working collaboratively in a team environment
26. Strong awareness of regulatory and compliance standards
Desirable:
27. Experience using XPlan
28. Experience using Voyant
29. Proficiency in Microsoft Word and Excel
