A fantastic opportunity has arisen for a Personal Assistant (PA) to the Director of Education and Research (E&R). This post is essential in providing high‑quality administrative and professional support to the Director and the wider Senior Leadership Team (SLT) across the E&R Directorate.
The role is pivotal in ensuring the effective functioning of the Directorate through proactive diary management, coordination of meetings and close liaison with both internal and external stakeholders. It also involves leading and supporting communication and engagement activity between senior leaders, managers and their wider teams, ensuring clear, timely and effective information flow across the Directorate. The post holder will work with a high degree of autonomy, exercising sound judgement, confidentiality, tact and discretion at all times.
The role demands excellent communication and digital skills, along with proven experience of working in a fast‑paced environment, managing competing priorities and supporting senior leaders. The post holder must be able to adapt to changing demands while maintaining high standards of accuracy, professionalism and service delivery.
Main duties of the job
As a PA supporting the E&R Directorate this role will provide a comprehensive, customer‑focused executive‑level PA and administrative support service to the Director of E&R, Associate Directors for Education and Research and the Senior Leader Team (SLT) across E&R, including the Deputy Director of Education, Heads of Education and Head of Research.
The post requires excellent organisational skills and the ability to work independently, frequently exercising tact, discretion, initiative and judgement. As the PA across E&R you will often act as the first point of contact for colleagues, stakeholders and the public, therefore representing the Trust. The post holder will always project a professional and confident image and demonstrate the Trust values in behaviour and work. The post holder must be highly proactive, using initiative and judgement to manage the portfolios of work for the Director of E&R, Associate Directors, and the SLT across E&R while balancing urgent and important priorities.
Person Specification
Knowledge & Experience
* Experience of providing a PA service to a Senior Manager/Director and Senior Leadership Team.
* Proactive diary management and forward planning of workloads.
* Workload prioritisation and planning to ensure an efficient, high‑quality, customer‑focussed service.
* Experience of drafting complex reports and correspondence.
* Experience of helping to establish, monitor and develop departmental systems and processes.
Qualifications & Training
* Further education level office management or administration qualification, or equivalent experience.
* Good standard of general education, including GCSE English and Maths at Grade C or equivalent.
* Advanced level use of IT systems such as Excel, Word, Access, MS Teams and Sharepoint.
Personal Attributes & Skills
* Highly effective interpersonal, communication, verbal and influencing skills.
* Experience of working closely and communicating with senior management.
* Possess and display a high degree of tact, diplomacy and discretion.
* Able to work effectively on own initiative without procedural guidance.
* Able to liaise with stakeholders, external organisations and colleagues at all levels of the organisation.
