Job Description: Our Client
Our client is a fast growing, family run estate agency covering sales, lettings, management and consultancy. After 25 years in property they are looking to expand and gain the support of a proactive, engaged and supportive Executive Assistant who can support the CEO directly to help the business grow.
Why this role matters
Your mission is simple: support the CEO’s time and help keep the business moving. You’ll blend classic EA duties with property and operational tasks so the founder can stay laser focused on growth. If you later want to step into senior lettings or operations leadership, the runway is there, but it’s also a perfect springboard into a top-tier EA career. Don't worry, if there are things you are unfamiliar with in the description below, please do apply because our client is willing to teach you all the knowledge required, it's more about the personality fit and the proactive individual who can grow with the agency.
What you’ll do
Executive & office support
Own the CEO’s diary: prioritise, schedule and resolve clashes before they happen
Triage emails and calls, drafting responses and surfacing only what needs the CEO’s eyes
Prepare briefing packs, slide decks and meeting notes; chase actions to completion
Book travel, accommodation and event logistics with an eagle eye on cost and detail
Conduct quick research (competitors, tech tools, market insights) to inform decisions
Whilst initially remote whilst the office set up is final, you will keep the office running - supplies, small IT issues, vendor coordination
Property & marketing support
Post and update listings in Alto CRM and on portals; ensure photos, copy and compliance docs are flawless
Liaise with photographers, videographers and copywriters to create standout marketing assets
Co-ordinate viewings, references, tenancy paperwork and key handovers
Track compliance dates (Gas Safety, EICR, deposit registrations) and chase suppliers or landlords
Run light social-media and email campaigns, monitor performance and suggest tweaks
Spot process bottlenecks and propose smarter workflows across lettings and ops
What you’ll bring
2–3 years in the industry is desirable but not required
Alto CRM proficiency (or fast learning ability)
A proactive mindset - you act before being asked and love a shrinking to do list
Sharp, warm communication with clients, contractors and C-suite alike
Tech confidence across Microsoft/Google Workspace; hungry to master new tools
Calm under pressure - deadlines, last-minute changes and multiple priorities don’t rattle you
Ambition: whether you see your future in senior lettings, operations leadership or elite EA work, you want to grow fast
What we offer
Choice of full-time hours or a reduced-hours week that still covers core business needs
Professional development budget and direct mentorship from the CEO
Hybrid working: typically 2–3 days in the office / on site
A supportive, no-egos culture that rewards initiative and lifelong learning
