Role Overview
The role is fast-paced, requiring the ability to work under tight and conflicting deadlines, process information accurately, and make quick, effective decisions. The ideal candidate would be proactive, calm under pressure, able to reassess priorities, take initiative, and work independently with a can-do attitude. High attention to detail, diplomacy, and an understanding of the business are essential.
Key Responsibilities
* Provide broad and effective administrative support, including minute-taking for meetings such as PSG (Europe and Asia Pacific) and Group Project / Operations meetings, noting action points, and coordinating compliance across the team and wider business.
* Prepare and format templates, presentations, letters, messages, and emails, such as RFAs and VRFs, ensuring priorities are managed diplomatically and consistently.
* Coordinate and prepare various reports, including ExCom and PSG reports, by editing, printing, collating, binding, and distributing them on time and according to corporate standards.
* Assist as an ‘Authorised Travel Administrator’ by overseeing TAFs and supporting through Corporate Traveller as needed.
* Support management IT systems, including DocuSign workflows, Gateway, and CAG tracking schedules.
* Manage group project online folders, maintaining an up-to-date and organized filing system with version control and proper archiving.
* Coordinate internal and external functions such as workshops and meetings, liaising with relevant departments and ensuring company processes and standards are followed.
* Maintain flexibility to work outside normal office hours when required.
About You
You are a driven, detail-oriented professional with a positive outlook and proactive approach. You handle tasks independently, exercise good judgment, and keep your team informed. Excellent written and verbal communication skills in English, discretion in handling confidential information, and composure under pressure are vital.
Key Requirements
* Degree or equivalent qualification.
* Experience as a PA or administrator.
* Experience supporting a team or director in a fast-paced environment.
* Advanced knowledge of MS Office (Word, Excel, Outlook, PowerPoint).
