Job overview

We are looking for a motivated and proactive individual to join the Urology Secretarial Team, based at Scarborough Teaching Hospital.

This post is perfect for applicants with a strong background in administration, looking to step up into a secretarial role. We are committed to providing the training and support required to make the right candidate a success and integrate into our team.

The role is fast paced, varied and involves taking a lead in providing comprehensive secretarial/PA support to our consultants and their teams.

The role of medical secretary requires excellent communication skills, engaging with our patients and assisting with their queries and concerns, liaising with the wider clinical networks and Multidisciplinary Teams.

You will also be the direct line manager for your band 3 Assistant Medical Secretaries.

Applicants need to be proficient at typing and have a working experience of digital dictation, with recent secretarial/administrative experience. Knowledge of medical vocabulary is an advantage, although not essential.

Main duties of the job

The main duties will include:

1. Typing of clinic letters
2. Maintaining patient information and clinical systems
3. Dealing with correspondence from patients and GP's
4. Ensuring referral to treatment targets are met
5. Consultant diary management
6. Consultant leave requests
7. Day to day management of band 3 secretaries

Qualifications

Essential criteria

19. GCSE English Language, Grade C or above (or equivalent)
20. Word processing skills – OCR III (or equivalent e.g. RSA III )
21. Typing skills - OCR III (or equivalent e.g. RSA III)

Experience

Essential criteria

22. Minimum 2 years secretarial/administrative experience
23. Experience of using a variety of IT applications, including Microsoft Office
24. Ability to manage and prioritise conflicting deadlines and pressures
25. Ability to cope with distressing and emotional situations with patients, relatives and staff

Desirable criteria

26. Experience of staff supervision
27. NHS Experience

Skills

Essential criteria

28. Proficient audio typist with the ability to accurately transcribe complex audio tapes and type complicated medical information whilst subject to frequent interruption
29. Excellent organisational skills
