Safety, integrity and customer experience are at the heart of everything we do. We are now seeking a highly organised and detail-oriented Facilities & Assets Team Organiser to support the operational management of the Assets and Facilities team.
This is an exciting opportunity to ensure smooth financial and administrative operations within the team, maintaining accurate records, processing purchase orders and invoices, and supporting both project-based and routine activities across the EMR network.
About the Role
You will play a crucial part in ensuring the accurate management of the Asset Management budget, maintaining master records, processing invoices, and supporting the administrative and operational functions of the Assets and Facilities team. You will liaise with internal and external stakeholders, ensure timely completion of payroll and attendance records, and support the team in delivering continuous improvement initiatives.
Key Accountabilities
1. Raise Purchase Orders as required and maintain master records of all spending within the Assets Management budget
2. Enter GRNs/part-GRNs for invoices received and update the PO spreadsheet
3. Resolve invoice matching queries with Head Finance Office via eBis, liaising with third-party contractors as needed
4. Raise invoice requests for contributions to schemes from Network Rail, SQR, or other bodies, updating records accordingly
5. Complete weekly electronic timesheets for Artisans, Station Service Technicians, and submit to EMR Payroll
6. Complete weekly Staff Status Returns for the Assets Management team and submit to EMR Payroll
7. Maintain attendance records, including annual leave, sickness, and training course participation
8. Schedule and attend internal and external meetings, ensure stakeholders are invited, take notes, update action trackers, and circulate minutes
9. Organise and book overnight stays, coordinating with hotels and team members
10. Assist with project-based information, uploading data to the Concerto CAFM system
11. Attend periodic meetings with Artisans, Station Service Technicians, and SQR Technicians, taking notes and updating spreadsheets
12. Support confidential team meetings with note-taking and record-keeping
13. Assist with updating the Asset Inventory or Fault Data system
14. Maintain Assets & Facilities training records
15. Manage the EMR Customer Experience road vehicle fleet and ANPR database
About You
16. Highly organised with excellent attention to detail
17. Strong IT skills, including Microsoft Office; experience with CAFM systems (e.g., Concerto) desirable
18. Comfortable liaising with multiple internal and external stakeholders
19. Ability to prioritise, multitask, and work under pressure
20. Experience in financial administration, invoice processing, or project coordination is advantageous
21. Confident in managing records, reporting, and maintaining accurate data
