An opportunity has arisen for an enthusiastic motivated individual to join our Speech & Language Therapy team as an Administrator.

Main duties of the job

This role requires excellent communication skills with positive, caring and supportive interactions with patients. You will provide an efficient and effective administrative service across the whole team, liaising with Speech & Language Therapists across all sites. This is a flexible role within the department that requires you to book patients into scheduled appointments, as well as using and supporting IT systems to manage our outpatients and inpatients. You will excel in communication and inter‑personal skills, interacting with tact, diplomacy and resilience as you liaise with patients, their carers/families and your colleagues within clinical services across the organisation.

The success of this role is dependent on the accuracy, organisation and timely response when inputting and managing patient information into a variety of systems, whereby patient care is effectively supported, income streams maximised and data quality at its optimal.

Candidate Pack

Internal applicants should note that this opportunity will be offered on a secondment basis. Before applying, internal colleagues must discuss the opportunity with their current line manager to confirm whether they can be released from their substantive role if successful. Release to undertake a secondment is not automatic and must be agreed between the colleague, their current line manager, and the recruiting line manager.

Job responsibilities

Please note: This role does not meet the minimum criteria for visa sponsorship under the current UK immigration rules, which set specific salary and skill thresholds. As such, we are unable to provide sponsorship for this post. Applicants will therefore need to already have the right to work in the UK to be considered.

If you do not meet the sponsorship requirements, and you are applying using a Graduate visa as your right to work, you must have a minimum of 18 months remaining on your visa at time of application.

Deal with all telephone enquiries from patients, GPs, and other departments within UHSussex and community services in an efficient and effective manner. Must be able to make independent decisions relating to enquiries and advise the necessary people/staff.

Answer sensitive enquiries on the telephone. Must be able to establish and maintain effective communication with all members of the public.

To act as a central liaison and information point for SLT services.

To deal with all queries in an efficient and courteous manner using judgment and prioritisation skills.

To develop and maintain effective working relationships with clinical and managerial staff across the Trust.

To work with colleagues to ensure that relevant information is disseminated effectively and appropriately to staff across the site in a timely manner.

To take clear and accurate messages and ensure prompt delivery to the appropriate person.

To escalate to clinical staff any issues which require intervention.

We are willing to consider flexible working in this part time role. You may be voluntarily asked to work additional hours if there is capacity to offer this.

Qualifications and Experience

  • Experience of using a database
  • Strong working knowledge of basic computer packages, Word, Excel, Outlook
  • NVQ/NCFE Level 4, BTEC or equivalent
  • OCR (RSA) level 3 in administration or equivalent
  • Equivalent of GCSE/O Level English and Maths
  • Good working knowledge of medical terminology.
  • Experience of working in an NHS environment
  • Knowledge of UHSussex policies and procedures

Skills

  • Excellent level of numeracy and literacy
  • Ability to prioritise workload in an ever changing and demanding working environment
  • Skills with IT software such as Bamboo / Panda / Mediviewer
  • Careflow computer training
