Petroineos Terminal, Grangemouth (Temporary Administrator) About Us Petroineos is Scotlands biggest and newest fuel import and distribution Terminal. Ideally located in Grangemouth, the Terminal Road Station hosts approx. 500 vehicle movements daily supported by a Tank Farm and Jetties, providing shipping and storage support to the 24/7 operation. About the Role We are looking to recruit a highly motivated Administrator with excellent communication skills, to join the Services Team at our Grangemouth Terminal site on a temporary/37.5 hours per week basis for a minimum of 6 months. The successful candidate will provide a comprehensive administrative support role to c60 staff within the Terminal. Key Responsibilities: - General administration support which includes:
1. Production and distribution of daily, weekly and monthly reports.
2. Coordination of diaries in support of visits, training, briefings, which includes the management of invites, room bookings.
3. Administration of visits including; transport arrangements; inductions; supply of safety clothing; meeting schedules; refreshments.
4. Recording and reporting building maintenance issues and fault reporting.
5. Meeting room management.
6. Stationery and photocopier consumable management.
7. Management and ordering of safety kit and equipment (PPE).
- Processing and receipting of invoices and payments in the SAP and Maximo system. - Maintaining SharePoint/Alfresco site and intranet pages. - HR, Payroll and Training administration support as required. - Systems support; providing administrative support across a range of Terminal systems. Qualifications, Knowledge & Skills:
8. At least 3 years-experience in an administrative role, preferably in a manufacturing environment, HNC or VQ in administration at level 3 desirable.
9. Organisation and planning skills with strong attention to detail.
10. Time Management Skills. Ability to prioritise own workload.
11. Data Management - competent in managing confidential information ensuring integrity of the systems and appropriate retention mechanisms are in place.
12. Advanced IT and system skills, expert user of the Microsoft office suite, experience of HR or payroll systems desirable.
13. Exceptional communication and stakeholder management skills.
14. Able to change direction quickly.
Salary The RPH for this role is up to £15-16 dependent on experience.
