Overview

The Vacancy: We’re hiring a Front of House & Facilities Assistant on a full-time onsite basis in our Birmingham office. Shift pattern: Monday – Friday, 9am–5pm.


What will your role look like?

You’ll act as the first point of contact, providing professional reception services including greeting clients and staff, managing calls via Microsoft Teams, and coordinating visitor sign-in. You will also support the office manager with facilities and general tasks related to the day-to-day running of the Birmingham office. This is a diverse role that combines front of house and facilities support.

Key tasks include:

* Answer calls politely, quickly, and efficiently.
* Meet and greet Hymans Robertson clients/visitors and staff in a professional manner.
* Maintain the meeting room diary.
* Record and handle all incoming and outgoing couriers.
* Ensure all meeting rooms and the reception area are kept to a high standard.
* Monitor meeting rooms (setup/clear of lunches, meetings and events; reset of tables as required).
* Distribution of external and internal mail.
* Ensure external post is sent by the most appropriate method.
* Monitor and order stationery; manage delivery of goods.
* Order and deliver records from offsite storage facility; ensure tidiness of the general office environment.
* Adhere to the Firm’s Information Security standards, policies, and procedures.
* Filing and archiving; keep filing cabinets tidy and up to date. Use online portal for archiving retrieval and return.
* Invoicing.
* HS inductions and new starter setups; workstation assessments.
* Provide other ad hoc facilities and general support to the office manager.

* Experience of working a switchboard would be an advantage.
* Working knowledge of Microsoft Office and Microsoft Excel.

* Proactive and self-motivated.
* Professional approach in all work activities and client dealings.
