Fundraising Administrator

1. LOCATION: Kilbryde Hospice & retail sites across Lanarkshire
2. SALARY: £13, (£24, pro rata)
3. HOURS: 20 hrs/week
4. REPORTS TO: Fundraising & Commercial Manager

Job Purpose

The role of the Fundraising Administrator will be to support the fundraising team with all aspects of administration including the maintenance of our database, banking procedures, responsibility for financial data input and reporting and stock inventory management.

The post holder will be expected to be confident in completing paperwork, both manually and electronically.

Environment

Kilbryde Hospice provides specialist palliative care services to the people of South Lanarkshire. It is a specialist resource for those individuals receiving palliative care who have particularly complex needs. The Hospice strives to meet the physical, emotional, social, and spiritual needs of patients and carers, offering support in coping with the practical implications of life-limiting illnesses. Staff are required to provide the highest standard of patient-centred care possible, while promoting choice, dignity, self-esteem, and an enhanced quality of life. The Hospice is a Company Limited by guarantee, and a registered charity, and is required by separate and differing legislation to meet finance, governance, and regulatory requirements.

Key Accountabilities

5. Ensuring that our database is kept fully up-to-date, and all records are compliant with current legislation.
6. Fundraising report generation and information management.
7. Responding to supporter enquiries.
8. Producing data files for mailing, recording income and managing the acknowledgement process.
9. Ensuring timely and accurate recording of all donor information and income onto the database through manual input and file import and dealing with all related communications.
10. Ensuring that all fundraising income is correctly identified and accurately allocated on our database.
11. Accurately count donations and follow banking procedures
12. Ensuring timely and accurate inputting of data from third party systems.
13. Maintaining the upkeep of various inventories of stock and donations of gifts in kind.
14. Assisting with the administration of fundraising events.
15. Any other relevant duties as required by the Fundraising & Commercial Manager.

Knowledge, Training and Experience Required

Essential:

16. Sound working knowledge of the Microsoft Office packages (specifically Word, Outlook and Excel).
17. Confident counting money and recording on the relevant paperwork
18. Excellent interpersonal and communication skills
19. Ability to manage own workload, excellent personal organisation and the ability to prioritise with a creative and constructive approach to challenges and opportunities.
20. Friendly, outgoing manner, with the ability and confidence to communicate with donors
21. A willingness to learn and develop own skills

Desirable:

22. Full UK driving license and access to own vehicle.
23. Experience of donor databases, specifically eTapestry/Razor’s Edge
24. Experience dealing with the public

28. All staff are required to comply with the obligation of confidentiality relating to personal information that could identify individuals. Current Data Protection legislation safeguards the handling of information held in both electronic and manual filing systems and it is the duty of all staff employed by Kilbryde Hospice to uphold the principles of the legislation.
29. All employees of Kilbryde Hospice must be aware of infection prevention and control policies and are expected to follow them at all times. Any breach of infection control policies which places patients, visitors or colleagues at risk may result in disciplinary action.
30. The post holder is required to familiarise him/herself with and comply with the Kilbryde Hospice Health & Safety policies.
31. The post holder must at all times carry out duties and responsibilities with regard to the Kilbryde Hospice Code of Conduct.
32. Kilbryde Hospice operates a strict non-smoking policy in the hospice or Hairmyres hospital grounds.
33. The post-holder must at all times carry out his/her responsibilities in line with Kilbryde Hospice Dignity at Work and Equality, Inclusion & Diversity Policy.
