Job Title: Booking & Events Coordinator
Location: The Marigold, 187 Brookvale Road, Birmingham, B6 7AJ
Contract Type: 6-months with a view to extending should the candidate perform well (1-month paid trial following which the 6-month contract will commence if you are successful)
Start Date: Immediately
Hourly rate: £13 p/h (plus a 1.5% commission)
Hours: 20-25 hours p/w (Due to it being a seasonal business, you will be expected to do increased hours to accommodate the level of work during busy periods).
Days & Time: Rota based (Flexibility required due to the nature of the business. Weekends, afternoons and evening availability preferable)
The Marigold is a luxury wedding venue in Birmingham. We are currently looking for a Booking & Events Coordinator who will plan, prepare, manage and oversee the events at the venue. The Bookings & Events Coordinator will be required to secure bookings, conduct planning meetings for the events and be present on event days to ensure everything is running smoothly. The chosen candidate will be working alongside the venue manager and administration staff during the day to day running of the venue, and on event days they will be working with other hospitality staff, external companies, and vendors.
To be successful as a Booking & Events Coordinator, you should enjoy organising events, have a pleasant personality, have a calm and composed character, and be comfortable with meeting new people/families from all different backgrounds and of all ages, as this is a very customer facing role. It is a nice opportunity to meet different people and assist with one of the most important events in their lives.
Job Description
As a Booking & Events Coordinator, you will deal with new enquiries and have the job of selling the venue to potential clients, by giving them a guided tour of the venue, discussing their event requirements, answering their questions, and providing them with a quotation. Once you have completed a sale, it will be your responsibility to ensure that the client has their perfect dream wedding at The Marigold. This includes completing the booking paperwork with the client and taking deposit payments; keeping communication with them via phone or email throughout; conducting their final planning meeting, and being present on the day of their event to see everything through.
Duties & Responsibilities
Ultimately, the Booking & Events Coordinator's duties and responsibilities are to ensure that they sell the venue to a potential client, secure the booking, and conduct a faultless event in line with The Marigold's reputation. Your duties will include the following, but are not limited to:
* Doing a guided tour with potential clients and providing them with a quotation
* When a potential client goes ahead with their booking, complete the booking paperwork accurately and take a deposit
* Maintain communication with the client, dealing with their queries and staying as their point of contact until their event has taken place
* Carry out the main planning meeting with the client prior to their event, to create the right plan and itinerary for their day
* Creating the client booking files and maintaining accurate records for each client
* Providing a briefing and instructing the hospitality staff on the day of the event as to what needs to be done before the event and during the event
* Adhering to existing workflow systems and procedures
* Ensuring that everything is set up on time for the event
* Managing hospitality staff on event days
* Ensuring that lunch/dinner service happens on time and runs smoothly
* Liaising with the waitering team, catering team and other vendors for the event
* Ensuring that the guests present at the events are happy and satisfied
* Dealing with all clients, guests and all companies in a highly professional manner throughout, to maintain the reputation of the venue
* Dealing with any problems that may arise on the day of the event
Our requirements are as follows:
* Someone who is passionate about facilitating a perfect event
* Experience in event management is preferred
* Someone who will use their initiative and can think on their feet
* Someone who enjoys meeting people and building relationships
* A well-spoken and well-presented individual who will add to the reputable nature of the venue
* The candidate would need to be flexible with the working days and hours as the role can be quite demanding, especially during the busy holiday periods. If you have many other fixed commitments or major responsibilities, then this role may not be suited for you.
* Required to work weekends
* Our primary clientele is the South Asian (Pakistani & Bangladeshi) community. For this reason, it will be very beneficial for the candidate if they spoke an additional language and are aware of the different cultures and customs
* Due to event timings and sometimes late finishes, it would be essential if you have your own vehicle to get back and forth, as reliance on public transport will be difficult
